This document provides a description of specific Arc Suite user rights, as well as the scope of the processing associated with each.

ArcFiling

You can review and edit financial data relevant to each security held by any given fund for a specific account period via the “Fund Holdings” page.

Securities’ captions, values, categorization information, currency and other settings are displayed in a grid. You may enter data directly into the grid and/or click the various links therein to update holdings information.

  • Review and edit all data points associated with a security’s caption and category assignment

The “Fund Information” page allows you to review and modify fund-level financial information for a project in a given account period and fund.

ArcFiling

The “General Information” page allows you to review and modify all N-MFP submission header information in one place. The values specified on the page roll forward from the current account period to subsequent account periods, eliminating the need to update otherwise static information.

  • Review/Maintain/Update N-MFP submission header information (i.e., CIK number of registrant, EDGAR series identifier, contact, e-mail addresses, etc.)

The various entities (advisers, accountants, administrators, transfer agents, etc.) associated with a given project are specified via the “Part A: Fund/Class Setup” page. You can review and update these, as well as several other specific properties of the fund using the controls found on the page.

  • Review/Maintain/Update existing assignments associated with the fund or class based on values from Environment Administration settings

You can review and update repurchase agreement collateral information pertaining to a project for a given fund and account period on the “Repo Holdings Collateral” page.

While data can be manually entered via the page, you can also use this page to import information from a specially-formatted Excel source file.

  • Review/Maintain/Update collateral associated with repurchase agreements held by a given fund for a given account period
  • Add new collateral for a given repurchase agreement

An XML disclosure profile allows you to define which rating agencies’ ratings are reported in your Form N-MFP filing. By default, the filing will report the ratings associated with a given rating agency based on the data included in the Holdings dataload or Holdings data import. The settings in a given disclosure profile can be applied to a fund via the “Fund Report Settings” page.

  • Review/Maintain/Update existing XML disclosure profiles and related settings

ArcFiling

Information about independent public accountants is stored the Accountants library of Arc Suite and is accessed via the “Accountants” page. You can assign each accountant in the library to one or more funds via the “Accountants” tab of the “Funds” page.

You can also assign an accountant to an N-MFP project for a specific account period and fund on the “N-MFP” page, and to an N-SAR filing on Screen #7 of the “N-SAR” page.

  • Review/Maintain/Update existing accountant records
  • Create new accountants in library
  • Delete existing accountants

ArcFiling

Information about administrators is stored in the Administrators library of Arc Suite and is accessed via the “Administrators” page. You can assign any number of administrators in the library to one or more funds via the “Administrators” tab of the “Funds” page.

You can also assign administrators to an N-MFP project for a specific account period and fund on the Part A: Fund/Class Setup page, and to an N-SAR filing on Screen #4 of the “N-SAR” page.

Information about investment advisers and sub-advisers is stored in the Advisers library of Arc Suite and is accessed via the “Advisers” page. You can assign any number of advisers/sub-advisers in the library to one or more funds via the “Advisers” and “Sub-Advisers” tabs, respectively, of the “Funds” page.

You can also assign advisers and sub-advisers to an N-MFP project for a specific account period and fund on the “Part A: Fund/Class Setup” page, and to an N-SAR filing on Screen #3 of the “N-SAR Filing” page.

Information about transfer agents is stored in the agents library of Arc Suite and is accessed via the “Agents” page. You can assign any number of agents in the library to one or more funds via the “Agents” tab of the “Funds” page.

You can also assign agents to an N-MFP project for a specific account period and fund on the “Part A: Fund/Class Setup” page, and to an N-SAR filing on Screen #6 of the “N-SAR Filing” page.

The Category Library holds the listing of categories as defined per the SEC guidelines. These categories are assigned to the securities referenced in each filing.

You can generate a listing of all changes made to values in the “Class Balances” tab of the “Financial Workbook” page by running the Class Balances Audit Report. The report displays the beginning and ending balance of each field, the date/time of the change and user that made the change. This information can be useful in determining the impact of a change by identifying output that may need to be regenerated after a change is made.

  • Run report based on complex, fund group, fund, class, account period, editing user and/or date range filters
  • Export results to various formats

ArcFiling

Arc Suite supports automated loading of class information from a data source file that you deliver via secure FTP. You specify property overwrite options for a given complex through various settings on the “Class Information Load Options” page. The delivered data source file will be automatically processed by the system, according to the options you’ve set.

  • Review/Maintain/Update existing class information load overwrite options (per complex) for data included in source file

Users with appropriate rights can purge portfolio and financial data from the Arc Suite database for a specified complex and account period (optional) via the “Data Purge” page.

Care should be taken when carrying out data purge operations, as they are irreversible!

You can view the details of data that has been imported to Arc Suite on some previous date via the “Archive” page. Such data will have been imported either via secure FTP as part of an automated dataload operation or through a manual data import from various application pages. The type of load, date/time and details of files are all available in the archive record.

Clients need to know the load status of each data file required for N-MFP in order to begin the production process in a timely manner. The “Dataload Status” dashboard provides users a visual status of each individual load/import for each fund assigned to a given project.

  • Review the current status of data required for specific load types (Holdings, Fund, Class, Repo Holdings Collateral, etc.)
  • Export results of search grid to specified format

Information about demand feature issuers is stored in the Demand Feature Issuers library of Arc Suite. You can assign demand feature issuers (“Item C.14.a”) to fund holdings records via the “Fund Holdings” page.

You can also specify credit ratings for each demand feature issuer on the “Demand Feature Issuers” page.

  • Review/Maintain/Update existing demand feature issuer records
  • Create new demand feature issuers in library
  • Delete existing demand feature issuers

Document structure templates define what sorts of items will display in your project (e.g., images, text snippets, portfolio statements, tables, etc.), and in what order.

On the “Document Structure Templates” page, you can organize project content within “chapters” and specify whether any given chapter will display just once in your output, or repeat for each fund associated with the project.

  • Review existing document structure templates and related settings

You can generate a listing of all changes made to values via the “Fund Data Points” tab of the “Financial Workbook” page by running the Fund Data Points Audit Report. A listing of the account periods associated with a given complex, together with their corresponding open/close statuses, can also be exported to various file formats from this page.

The “Fund Report Settings” page allows you to manage account periods associated with the complexes in your database (i.e., view or adjust their open/closed status and specify the day after which they should auto-close), and also specify the various libraries that each fund in a given complex will utilize for captioning, footnotes, currencies, etc.

A listing of the account periods associated with a given complex, together with their corresponding open/close statuses, can also be exported to various file formats from this page.

In order to review or update previous account period filings for projects, you may need to re-open the account period. You can re-open an account period by selecting the appropriate complex on the “Fund Report Settings” page and adjusting there period’s status there.

You can generate a listing of fund exceptions that have been created for one or more holdings records in a given complex, fund group, fund and/or account period by running the Fund/Category Exception Report. The report displays the aggregated allotment of fund exceptions that meet the specified report criteria.

  • Run report based on complex, fund group, fund and/or account period for one or more holdings
  • Export results to a file of Excel (XLS) format

The “Global Holdings Review” page allows you to easily view the funds that hold a security record within the current or other complexes in your Arc Suite environment.

Information about guarantors is stored in the Guarantors library of Arc Suite. You can assign guarantors (“Item C.15.a”) to fund holdings records via the “Fund Holdings” page.

You can also specify credit ratings for each guarantor on the “Guarantors” page.

You can export holdings-related information from Arc Suite for one or more complexes and a for a specified account period to Excel format via the “Holdings Data Extract” page. The resulting file(s) will be in a format that can be used for import to either Arc Suite or the FundSuite SX application, depending on the options you specify.

  • Extract holdings data for selected complex(es) and account period

You can import holdings data either via secure FTP as part of an automated dataload operation or through a manual data import from the “Fund Holdings” page. Inbound data is placed in a temporary “staging” area, where you can review information for each fund included in the load (i.e., how many balances will be imported, how many new securities are in the load, how many existing securities will have their values updated and the number of errors/warnings, if any). You can then decide to either accept the staged data (load it into the database) or reject it (remove it from the load queue, such that it cannot enter the database) via the “Holdings Load Preview” page.

An image library contains images such as logos, performance graphs, signatures, etc., that are associated with a given complex and accounting period. The image library itself is associated with a specified production team, such that only members of that team have access to its contents.

You can add an image library to the Arc Suite database and review/edit existing libraries on the “Image Libraries” page. You can also add, update and delete specific images in existing libraries from this page.

A listing of the names and descriptions of images in any given library can be exported in various file formats from this page, as well.

  • Preview and update (upload) existing images for a specific account period
  • Create and upload new images to library for a specific account period
  • Delete existing images

ArcFiling > “Open Issuer Libraries Page (ArcFiling)”

ArcFiling

Issuer libraries hold information about issuers as it relates to a specific account period (i.e., caption and description text). Each issuer in a library is identified with a record in the Issuer Master library, where other information about the issuer, like the issuer name and CIK is stored.

You can add an issuer library and review/edit existing libraries on the “Issuer Libraries” page.

  • Review/Maintain/Update existing issuer libraries’ codes and captions
  • Create new issuer libraries
  • Review/Maintain/Update existing issuers in a given issuer library for a given account period and fund
  • Create new issuers in a given issuer library for a given account period and fund

ArcFiling

Issuer libraries hold information about issuers as it relates to a specific account period (i.e., caption and description text). Each issuer in a library is identified with a record in the Issuer Master library, where other information about the issuer, like the issuer name and CIK is stored.

You can add an issuer library and review/edit existing libraries on the “Issuer Libraries” page.

  • Push changes made within the library to selected reporting periods for a given complex

The Issuer Master library holds information about issuers (e.g., the issuer name and CIK). Issuer information that is specific to an account period (i.e., caption and description text) is stored in an issuer library.

You can assign issuers (“Item C.1”) to fund holdings records via the “Fund Holdings” page.

You can add new issuers to the Arc Suite database and review/edit information for existing issuers on the “Issuer Master” page.

  • Review/Maintain/Update existing issuer master records in Issuer Master library
  • Create new issuer masters in Issuer Master library
  • Delete existing issuer masters

ArcFiling > “Open Manual Project Creator Page (ArcFiling)”

ArcFiling

Projects are typically created automatically, according to the reporting frequency settings for a given project’s template (i.e., “Monthly”).

Though not normally recommended, you can use the “Manual Project Creator” page to create a project for an account period outside of the standard reporting frequency settings for the project template.

  • Create projects based on a specified project template and account period

You can generate a listing of all portfolio statement template line items in a given project that have no defined output settings by running the Missing Output Settings Report. Missing output settings could lead to output and footing issues.

The “New Securities Report” page allows you to search the system to identify new securities in a given security library for a specified account period (i.e., securities that have never been held by the library used by the specified fund(s) for an account period prior to the one being viewed).

You can specify what information displays in generated output for various types of portfolio statement line items on the “Portfolio Statement Template Output Settings” page.

After mapping literal values (“$”, “€”, “%”, “‡”, etc.) and security, account period and footnote data points to each line item type, you can define how each bit of information is to be formatted (date/time display, negative and zero value display, number of decimals, text casing, etc.). You can also control when certain line items should be suppressed (hidden) in project output.

It also provides information on amended filings.

The “User Audit Reports” page allows you to search the system to identify changes that have occurred with regard to user account information, user complex access rights, assigned roles and business units within a specific time frame.

Search results indicate the dates and times of any such edits, the name of the editing user for each, before and after values (as applicable), etc.

  • Export results to various formats
