Managing Fund Types

Intro

Each fund in the Arc Suite database can be associated with one or more user-defined fund “types” (e.g., “Domestic”, “Equity”, etc.).

You can create fund types on the “Fund Types” page and later associate them with any number of funds via the “Fund Types” tab of the “Funds” page. You can also review/edit existing fund types and export fund type records in Excel (XLS) format from this page.

Tasks

Adding a fund type to the database
1. Expand the Environment Administration “Settings” menu.
  
  Click the “Home” button at the top of the application window to return to the landing page.
  
  Select “Environment Administration” from the administration area.

2. Click the “Fund Types” item.

3. Click the “Add” button at lower-right of the page.
4. Specify a “Name” and a “Description” for the new fund type in the “Detail” pane at right of the page.
5. Click the “Save” button at lower-right of the page.

Reviewing/Editing an existing fund type
1. Expand the Environment Administration “Settings” menu.
  
  Click the “Home” button at the top of the application window to return to the landing page.

  Click the “Settings” menu to view available items.
2. Click the “Fund Types” item.

3. Select the desired item from the “Listing” pane at left of the page.
4. Review and edit information for the item in the “Detail” pane at right of the page, or directly in the cells of the “Listing” pane at left of the page.
5. Click the “Save” button at lower-right of the page if any updates were made.
Exporting fund type records

A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

Click the “Export data” button at lower-right of the pane where existing items are listed to export data from the grid.

The “Export Format” dialogue displays.

Select the option button next to the file format to which you’d like the data saved.

.XML

Places data in XML format, which can be opened in a web browser or in Microsoft Excel.

.DOC

Places data in a table within a Word document.

.CSV

Places data in a comma-delimited format, which is typically opened in Microsoft Excel.

.HTM

Places data in an HTML table within a web page, which can be opened in a web browser or in Microsoft Word or Excel.

.TXT

Places data in a tab-delimited text file, which can be opened in a text editor (e.g., Notepad) or in Microsoft Excel.

Click the “Accept” button at lower-right of the dialogue.

The “Save As” dialogue displays.

Specify a local or network directory in which to store the file, and provide a “File name”.

Click the “Save” button.
Adding a fund group to the database
1. Expand the Environment Administration “Settings” menu.
  
  Click the “Home” button at the top of the application window to return to the landing page.
  
  Select “Environment Administration” from the administration area.

2. Click the “Funds” item.

3. Select any existing complex from the left pane of the page, and then click the “Add Child” button at lower-left of the left pane of the page.
4. Specify a “Fund Group Name”, “Description” and a “Fund Group Code” for the new fund group in the detail pane at right of the page.
5. Click the “Save” button at lower-right of the page.
  
  Repeat the foregoing steps for each relevant fund group.
Adding a fund to the database
1. Expand the Environment Administration “Settings” menu.
  
  Click the “Home” button at the top of the application window to return to the landing page.
  
  Select “Environment Administration” from the administration area.

2. Click the “Funds” item.

3. Select any existing complex from the left pane of the page to reveal the fund group(s) contained therein.
4. Select any existing fund group, and then click the “Add Child” button at lower-left of the left pane of the page.

5. Provide all information pertaining to the new fund on the “Fund” tab at right of the page.

  Required fields include:
  
  Fund Name
  
  Fund Legal Name
  
  Fund Code
  
  Fiscal Year End
6. Click the “Fund Information” tab at right of the page, select the “Active” check box option, and then specify an inception date for the fund.

7. Click the “Ancillary Fund Information” tab at right of the page, and then specify the desired fund-specific text for each ancillary fund information record.

  Ancillary fund information data points are defined via the “Ancillary Fund Information” page.
8. Click the “Fund Types” tab at right of the page, and then drag-and-drop the appropriate fund type(s) from the right pane to the left.

9. Click the “Attributes” tab at right of the page, and then add one or more attributes in association with the fund using the “Add” button at lower-left of the tab.

10. Click the “Filings Info” tab at right of the page.

  Specify the “Securities Act File Number” for filings in the corresponding text box.
  
  Use the “Category” drop-down list to specify the category associated with the fund.
11. Click the “Accountants” tab at right of the page.

  Drag the accountant(s) to be associated with the fund from the “Available Accountants” pane at right of the tab to the “Assigned Accountants” pane at left.

13. Click the “Administrators” tab at right of the page.

14. Click the “Agents” tab at right of the page.

15. Click the “Sub-Advisers” tab at right of the page.

16. Click the “Fund Relationship Types” tab at right of the page, and then drag-and-drop the appropriate relationship type(s) from the right pane to the left.

17. Click the “Save” button at lower-right of the page.
  
  Repeat the foregoing steps for each relevant fund.
Importing fund records

As an alternative to manually entering fund information one record at a time via the associated application page, you can import multiple fund records at once using an Excel (XLS) source file. Follow these steps to do so:

Expand the Environment Administration “Settings” menu.

Click the “Home” button at the top of the application window to return to the landing page.

Select “Environment Administration” from the administration area.

Click the “Settings” menu to view available items.

Click the “Funds” item.

Click the “Get import template” button at lower-right of the pane where existing items are listed to retrieve an Excel import file template.

Select the “Fund” option.

Click the “Accept” button at lower-right of the dialogue.

Click the “Open” button to open the template within Microsoft Excel.

Or, click the “Save” button, and then specify a local or network directory in which to store the template.

Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “FundImport_20101231.xls”).

Populate your new file with information for as many fund records as you’d like to import, and then save it (see the “Funds Import File Structure” table for specifics).

Click the “Import data” button at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

Select the “Fund” option.

Click the “Accept” button at lower-right of the dialogue.

Select your import file using the “Browse” button at right of the “File” field.

Specify the import behavior options you’d like to use.

Specify whether only new records in your file should be imported to the database, or whether any records it has that match existing database records should also be imported.

By default, the “Import New Records Only” option is selected.

Existing records will be overwritten by those contained in your file if you choose the latter option!

Click the “Preview” button at lower-right of the “Options” section.

The record(s) to be imported display in the grid.

Click the “Accept” button at lower-right of the dialogue.

The records are imported to the database.

You can go to the dataload “Archive” page at any time to see the result of the import process by clicking the corresponding “View Details” link.
Reviewing/Editing an existing fund

2. Click the “Funds” item.

3. Select the desired complex from the listing pane at left of the page to reveal the entities contained therein, and then select the desired fund.
4. Review and edit information for the selected fund in the “Fund” pane at right of the page.
5. Click the “Save” button at lower-right of the page if any updates were made.
