Generating a Text Snippet Usage Report

The “Add/Edit Snippet Details” dialogue displays.

1. Enter a “Snippet Name” and “Description” for the new snippet.
2. Choose an “Output Style Type” that corresponds to the intended snippet content.

3. If applicable, specify the “Folder” with which the snippet is associated.

   If the snippet will be associated with a folder that has not yet been created for the current text library, leave the “Folder” value as “[None]” and enter the new folder name directly in the snippet’s row of the snippet grid after closing the “Add/Edit Snippet Details” dialogue. The new folder name will subsequently be available for selection for other snippets in the library.

4. Click the “Accept” button at lower-right of the dialogue.

Clipboard

1. Use the “Cut” button to remove selected content from the editor and place it in the Windows clipboard.

   The keyboard keystroke combination of “Ctrl + x” also effects the Cut action.

2. Use the “Copy” button to copy selected content from the editor and place it in the Windows clipboard.

   The keyboard keystroke combination of “Ctrl + c” also effects the Copy action.

3. Click the “Paste” button to cause content that has been placed in the Windows clipboard (whether via the Arc Suite editor, or any other application) to be inserted into the current snippet, at the current cursor position.

   The keyboard keystroke combination of “Ctrl + v” also effects the Paste action.

Any of the above actions can also be selected via the right-click context menu.

Font

Character style formatting is only available by highlighting text in the editor and clicking on one of the available character style buttons. Highlighting previously-formatted text and clicking the appropriate button will remove that formatting option.

1. Click the “Bold” button to cause the selected text to display as boldface type.
2. Click the “Italic” button to cause the selected text to display as italic type.

3. Click the “Underline” button to cause a single underline to be applied to the selected text.

   1. Clicking the arrow on the right edge of the button causes a drop-down list to display, from which you may select the underline type to apply to the selected text.

      

   The keyboard keystroke combination of “Ctrl + u” also causes a single underline to be applied to the selected text.

4. Click the “Strikethrough” button to cause the selected text to display as strikethrough type.
5. Click the “Subscript” button to cause the selected text to display as subscripted type.
6. Click the “Superscript” button to cause the selected text to display as superscripted type.
7. Use the “Font Size” drop-down list to specify the font point size of selected text (default size is “9” points).
8. Click the “Clear font size” button to cause any font size specification to be removed from the selected text, so that the selected text is displayed in the default text editor font size (“9” points).

Insert

1. To create a hyperlink in your text, do the following:

   1. Select the desired text, and then click the “Hyperlink” button .

      The “Insert Hyperlink” dialogue displays.

      

      

      1. Enter or validate text shown in the “Text to display” and “Address” fields.

      2. Click the “OK” button at lower-right of the dialogue.

      The “Hyperlink” action can also be selected via the right-click context menu.

2. To insert a symbol in your text, do the following:

   1. Place your cursor at the desired insertion location within the text, click once with the left mouse button, and then click the “Symbol” button .

      The “Insert Symbol” dialogue displays.

      

      1. Locate the desired symbol in the character pane, and then click it once with the left mouse button.

         The selected symbol is inserted immediately at the specified insertion point.

         Use the “Filter” drop-down list to help locate the symbol you’re looking for according to its type.

3. To insert a page break in your text, do the following:

   1. Place your cursor at the desired insertion location within the text, click once with the left mouse button, and then click the “Page Break” button .

      A page break is inserted immediately before the specified insertion point.

      • A page break may only be inserted on a blank line within the snippet.
      • The insertion of a page break does not impact the display of content in the text editing pane or in project preview; only in output.

      Use the “Toggle Format Symbols” button to show/hide text formatting symbols in the text editing pane, including page breaks.

      

4. To insert a data point in your text, do the following:

   1. Place your cursor at the desired insertion location within the text, click once with the left mouse button, and then click the “Data Point” button .

      The “Insert Data Point” dialogue displays.

      

      1. Specify the “Type” of data point to insert (i.e., “Account Period”, “Ancillary Fund Information”, “Calculation Sheet”, “Class Data Point”, “Conditional Value”, “Custom Data Point”, “Exchange Rate”, “Fund Data Point”, “Fund Holdings” (“Footnote Libraries - Holdings” page only), “Page/Note Reference”, “Supplemental Data”, “Trial Balance Definition”).

      2. Choose appropriate settings for other options that display, based on the selected type, and then specify the data point “Item” to insert.

         • When “Conditional Value” is the specified “Type”, the “Add/Edit Conditional Formula” dialogue displays, wherein you can provide a descriptive name for the conditional data point and you may define up to 10 conditional expressions and respective values to display when conditions are met or not.

         • When “Calculation Sheet” is the specified “Type”, “Financial Workbook Template” and “Calculation Sheet” drop-down lists display, wherewith you can designate the desired calculation sheet whose item will be inserted.

           If a multi-column calculation sheet is specified, also designate the specific “Column” whose data will be used.

         • When “Custom Data Point” is the specified “Type”, “Data Point Library” and “Data Point” drop-down lists display, wherewith you can indicate the desired data point.
         • When “Fund Holdings” is the specified “Type”, a “Field” drop-down list displays in place of the “Item” drop-down list, wherewith you can specify the desired fund holdings field (e.g., “Market Value”, “Percent of Net Assets”, “Shares”, “Sold”, etc.).

         • When “Page/Note Reference” is the specified “Type”, you can specify either “Set Note Reference” or “Set Page Reference” (“Text Libraries” page only), or “Display Note Reference” or “Display Page Reference” in the “Item” drop-down list.

           • Only one data point having an “Item” selection of either “Set Note Reference” or “Set Page Reference” can be inserted in a given text snippet.
           • If “Set Note Reference” or “Set Page Reference” is specified as the data point “Item”, the data point is inserted in the snippet in its own paragraph (similar to a page break); the data point cannot be inserted inline with other snippet content.

         • When “Page/Note Reference” is the specified “Type”, an “Index ID(s)” text box displays in beneath the “Item” drop-down list, wherein you can provide a unique identifier for the page or note reference.

           • The maximum character length for the text box value is “44”.
           • Only numeric values may be entered in the text box; spaces, letters, special characters, etc. may not be entered.
         • When “Supplemental Data” is the specified “Type”, the “Item” drop-down list will be empty if the specified “Financial Workbook Template” does not have a chart of accounts assigned. In addition, if the chart of accounts doesn’t have any supplemental data items, the list will be empty.

         When “Conditional Value” is the specified “Type”, the “Add/Edit Conditional Formula” dialogue displays, wherein you can provide a descriptive name for the conditional data point and you may define up to 10 conditional expressions and respective values to display when conditions are met or not.

      3. Define the formatting options you want to apply to the selected item in the “Format Item” section of the dialogue.

         • When “Calculation Sheet” or “Trial Balance Definition” is the specified “Type”, the “Fund Selection Behavior” drop-down list will include a “Horizontal Total” selection. Choosing this option causes the horizontal total for the specified line item to display within the text snippet in project preview and output.
         • Data point values displayed in project preview and output are footed values, based on the fund’s primary statement.

         • When rendering the portfolio statement, the value of all securities assigned to a given footnote are aggregated and displayed based on the formatting options specified.

           You can display a footnote on a portfolio statement that depicts the sum of the “Market Value” and its “Percent of Net Assets” value for the group of securities that have that particular footnote attached. (click to see example(s))

           

           

      4. Click the “Accept” button at lower-right of the dialogue.

   Arc Suite allows the calculation of values contained in portfolio footnotes. This sums the specified holdings field for all securities assigned a given footnote.

5. To insert a custom tag in your text, do the following:

   1. Place your cursor at the desired insertion location within the text, click once with the left mouse button, and then click the “Custom Tag” button .

      The “Insert Custom Tag” dialogue displays.

      

      1. Specify the tag to insert via the “Custom Tag” drop-down list.

         The read-only “Description” text box displays the “Description” value associated with the specified custom tag, as defined via the “Custom Tags” page.

      2. If the specified custom tag has the “Additional Fixed Options” check box selected in the Custom Tags library, select one of the available options via the “Additional Fixed Option” drop-down list (the drop-down list is disabled if no fixed options are defined for the selected tag).

      3. If the specified custom tag has the “Additional Arguments” check box selected in the Custom Tags library, enter the appropriate argument(s) in the “Additional Argument(s)” text box.

         For a custom tag requiring additional arguments, it is helpful to provide definitions and/or examples of argument values in the “Description” field when creating/editing the tag via the “Custom Tags” page. This offers some guidance to any user who insert the tag in a text editor.

      4. Click the “Accept” button at lower-right of the dialogue.

6. To insert a table in your text, do the following:

   1. Place your cursor at the desired insertion location within the text, click once with the left mouse button, and then click the “Table” button .

      The “Insert Table” dialogue displays.

      

      1. Specify a table “Item Type” (i.e., “Financial Statement Template”, “Portfolio Statement Template” or “Tabular Data Template”, according to the current library type).

      2. Specify additional information to identify the table(s) to insert, as appropriate for the current library type and specified “Item Type”.

         Footnote Libraries - General Ledger page

         1. “Financial Statement Template”

            

            1. Specify the “Workbook Template” with which the desired financial statement template is associated.
            2. Specify the “Template” representing the table to insert.

         2. “Tabular Data Template”

            

            1. Specify the “Template” representing the table to insert.

         Footnote Libraries - Holdings page

         1. “Portfolio Statement Template”

            

            1. Drag-and-drop the template(s) representing the table(s) to insert from the “Available Templates” list box at right of the dialogue to the “Selected Template(s)” list box at left.
            2. Move a selected item up or down using the “Move item up” and “Move item down” buttons   at lower-left of the list box.

            3. Select the “Share auto sequencing” check box to cause each footnote number in project preview and output to based upon its order in the portfolio statement group.

               • This will only occur for footnotes that have auto sequencing functionality activated.
               • If the auto footnote sequence setting of the tables in the group are different, the auto sequence settings of the first table in the group will be used for all tables.
               • The auto footnote sequence setting of the footnote in which the tables are embedded in will not be considered for the embedded tables.
               • If an embedded portfolio statement does not have a legend it will be output but not considered for auto sequencing.

            4. Clear the “Share auto sequencing” check box to cause the legend in each embedded table to be auto sequenced according to its own respective settings.

               This will only occur for footnotes that have auto sequencing functionality activated.

         2. “Tabular Data Template”

            

            1. Specify the “Template” representing the table to insert.

      3. Click the “Accept” button at lower-right of the dialogue.

         A new paragraph is added in the text editor pane, with the specified table template name(s) displayed within brackets, in green text.

         

   You can only insert tables in footnote library text; not in text library text.

Paragraph

When it is known that an ordered or unordered list will span across more than one text item, the buttons discussed below should not be used to create list items. Instead, the paragraph type drop-down list described below should be used to specify a type (defined in the output processing engine to create the appropriate list style) for each list item involved, in as many text items as include the list in question.

1. Click the “Unordered List” button to cause the selected text to display as an unordered (bulleted) list.
2. Click the “Ordered List” button to cause the selected text to display as an ordered (numbered/lettered) list.

3. To cause the selected text to display as a multi-level (bulleted or numbered/lettered) list, do the following:

   1. Click the “Multi-Level Ordered List” button .

      The “List Library” dialogue displays.

      

      1. Select the type of list to apply.

4. Your Donnelley Financial Solutions liaison can help to define client-specific paragraph types that produce the desired effect on text in project output. Use the drop-down list in the “Paragraph” section of the formatting ribbon to apply predefined types (e.g., “Disclaimer”, “Signature”, “Footnote”, “Introduction”, etc.) to a paragraph or list item.

   • The “Normal” paragraph type is applied to all text by default.
   • Paragraph types may be applied to any given paragraph or to any given item in an ordered or unordered list.
   • The type applied to any given paragraph/list item can be seen in the left margin of the text editing pane by using the type label toggler button .
5. Use the “Toggle Format Symbols” button to show/hide text formatting symbols, such as hard and soft carriage returns, page breaks, etc.
6. Use the “Toggle Paragraph Type Labels” button to show/hide the paragraph types applied to each paragraph/list item in the current text item.

7. Click the “Align Left” button to left-align text.

   You can either place the cursor somewhere within a single paragraph or highlight some amount of text within a single paragraph or multiple paragraphs and click the button to left-align the paragraph(s) in which the text is contained.

8. Click the “Center” button to center-align text.

   You can either place the cursor somewhere within a single paragraph or highlight some amount of text within a single paragraph or multiple paragraphs and click the button to center-align the paragraph(s) in which the text is contained.

9. Click the “Align Right” button to right-align text.

   You can either place the cursor somewhere within a single paragraph or highlight some amount of text within a single paragraph or multiple paragraphs and click the button to right-align the paragraph(s) in which the text is contained.

10. Click the “Justify Text” button to justify text.

    You can either place the cursor somewhere within a single paragraph or highlight some amount of text within a single paragraph or multiple paragraphs and click the button to justify the paragraph(s) in which the text is contained.

11. Click the “Decrease Indent” button to decrease the indent level of the selected paragraph or list item.
12. Click the “Increase Indent” button to increase the indent level of the selected paragraph or list item.

13. Click the “Keep lines together” button to prevent a page break from occurring within the lines of the current paragraph in output.

    • You can either highlight some amount of text within a paragraph, or simply place your cursor somewhere within a paragraph, and select the “Keep lines together” option.
    • This setting does not impact the display of content in the text editing pane or in project preview; only in output.

    • Use the “Toggle Format Symbols” button to show/hide text formatting symbols in the text editing pane, including paragraphs where the “Keep lines together” setting is applied. The setting will be denoted with a square bullet in front of all impacted paragraphs, similar to Word.

      

14. Use the “Paragraph Type” drop-down list to specify the paragraph or heading type of the paragraph(s) where text is highlighted, or in which your cursor is placed.

    • The specified type dictates how content in the paragraph will be rendered by the document processing service, according to predefined styles for your site.
    • The type of each paragraph displays at left of the paragraph when the “Toggle Paragraph Type Labels” button is set to show type labels.
    • The default type for all new text is “Normal”.

15. Use the “Line Spacing” drop-down list to specify the paragraph line spacing in terms of “points per inch”.

    • You can either highlight some amount of text within a paragraph, or simply place your cursor somewhere within a paragraph, and set the “Line Spacing” value.
    • Default line spacing for text is defined during client implementation. A setting of “None” for any given paragraph (default setting) causes the predefined spacing to be used in project output for that paragraph. If the line spacing is set to anything other than “None” the specified setting will supersede the predefined spacing.
    • This setting does not impact the display of content in the text editing pane or in project preview; only in output.

Editing & Proofing

1. Use the “Find/Replace” button to find instances of a particular text string and replace them with some other text string.

   The “Find/Replace” dialogue displays.

   

2. Click the “Toggle Spell Check” button to enable/disable spell-check functionality within the text editor.

   When enabled, misspelled terms will be shown with a red, zig-zag underline. The “Find Next Error” button will also be enabled for use.

   1. Right-click any identified misspelled term.

      A context menu displays, from which you may select a suggested replacement term (in bold text), add the term to the dictionary or ignore the current instance of the highlighted term.

      

   2. Choose an option from the context menu.

      1. Select any suggested replacement term in the menu (in bold text) to replace the misspelled term.

      2. Click “Add to Dictionary” to add the highlighted term to the custom dictionary for the specified language.

         • Dictionaries are language-specific and machine-dependent. This means that multiple users on a single machine share the same custom dictionary; users on separate machines do not.
         • Adding a word to the custom dictionary that was identified as incorrect allows you to continue to use that word, and Arc Suite spell check discontinues identifying that word as incorrect.
      3. Click “Ignore” if you want to ignore the current instance of the highlighted term.

      4. Click “Spelling…” if you want to ignore all instances of the highlighted term.

         The “Spell checking” dialogue displays.

         

         1. Click the “Ignore All” button on the dialogue.
         2. Click the “Close” button at lower-right of the dialogue.

         This action will ignore all instances of the term within the current snippet, not instances in other text snippets.

   Spell check functionality supports multiple languages. Arc Suite uses the appropriate dictionary for the language specified in the user interface. The following languages (and corresponding codes) are currently supported:

   • The language dictionary Arc Suite uses depends on the supported languages outlined in the table above.

     • For text snippets and footnotes, if the specified language is not supported or if the text/footnote is set to “same for each language”, Arc Suite uses the English (U.S.) dictionary.
     • For projects, if the associated template is set to “one output containing multiple languages”, Arc Suite uses the English (U.S.) dictionary.
   • Prior to using this functionality, you should verify that the appropriate languages are added to the “Languages” tab of the text and footnote library(ies) in use, and to the “Settings” tab of the project template(s).
3. Click the “Find Next Error” button to cause the next misspelled term after the current cursor location to be highlighted in the editor, and for the spell-check context menu to display (shown above).

4. Click the “Undo” button to cause the last action performed in the text editor to be undone.

   1. Clicking the button repeated times will undo previous actions performed in the editor, one at a time.

   The keyboard keystroke combination of “Ctrl + z” also effects the Undo action.

5. Click the “Redo” button to cause the last action taken on the current text item to be undone.

   1. Clicking the button repeated times will redo each “undone” action, one at a time.

   The keyboard keystroke combination of “Ctrl + y” also effects the Redo action.

1. Select the “Blank Template” option (default) to create a new, blank template.

   1. Select the “Custom” option in the “N-MFP Structure” section.

2. Select the “Copy Existing Template” option to create a template based on an existing template in the database.

   1. Use the “Source Complex” drop-down list to specify the complex with which the document structure template to be copied is associated.
   2. Use the “Source Template” drop-down list to select the appropriate template from those associated with the specified source complex.
   3. Click the “Target Complex” drop-down list to select the appropriate target complex for the new document structure template.
   4. Update the name value in the “Target Template” text box, as needed.
   5. Update the code value in the “Target Template Code” text box, as needed.

3. Select the “Import” option to create a template whose properties and settings match those of an existing template that has been exported from Arc Suite to a file of XML format.

   1. Select your import file using the “Browse” button at right of the “Source File” field.
   2. Specify the complex with which the new document structure template will be associated via the “Target Complex” drop-down list.

1. “Blank Template” option

   A new unsaved document structure template is created and selected in the “Listing” grid on the left portion of the page.

   1. Click the “Complex” drop-down list to specify the complex with which the new document structure template will be associated.
   2. Enter a “Template Name”, “Code” and “Description” for the new structure template in the fields of the “Detail” pane at right.

2. “Copy Existing Template” option

   A new saved document structure template is created and selected in the “Listing” grid on the left portion of the page.

   1. Edit the newly-copied template’s “Template Name”, “Code” and “Description” via the fields of the “Detail” pane at right, as appropriate.

3. “Import” option

   The specified source file is imported and a new saved document structure template is created and selected in the “Listing” grid on the left portion of the page.

   1. Edit the newly-imported template’s “Template Name”, “Code” and “Description” via the fields of the “Detail” pane at right, as appropriate.

1. Specify a chapter name in the corresponding text box.

   Chapter names must be unique across all chapters in a given document structure template.

2. If necessary, specify a chapter code in the corresponding text box.

   A value for this field is not required.

   • A value for this field is not required.

   • If PDF blacklining functionality will be used for projects using this template, the following criteria should be met with regard to this field in order to ensure accurate results.

     • A value should be provided and be unique within the structure template.
     • The value should be relatively short in length (the greater the number of characters, the more risk of non-unique ID values in output [and consequently, inaccurate blacklining]).

3. Use the “Behavior” drop-down list to specify the behavior of the chapter with regard to the items contained therein.

   Chapter/Fund Behavior Options:

   1. “No Repeat”: Inserts the non-fund-specific content of the chapter only once in the document. Typical use for this option is for “TOC”, “Cover”, “Letter”, “MD&A”, “Notes” and other items that aren’t associated with a specific fund.
   2. “All Funds - Combined”: Inserts the multi-fund content of the chapter only once in the document, combined in a single table.
   3. “All Funds - Single”: Inserts the multi-fund content of the chapter only once in the document. This option might be used, for example, with financial statement spreads that have all funds assigned to them.

   4. “All Funds - Repeat”: Inserts the content of the chapter for each fund assigned to the project. You could use this option for portfolio statements that need to be repeated for each fund.

      The fund name is displayed in parentheses next to chapters with this behavior on both the “Project Templates” and “Project” pages.

   5. “Common Content”: This behavior option is similar to the existing “No Repeat” option, in that only items that do not require a fund can be placed in the chapter (i.e., text, images and tables).

      • If you attempt to drag-and-drop any other item type to the chapter, a visual cue () will display at left of the item name to indicate that it may not be placed in the “Common Content” chapter.
      • Only one chapter in the document structure template may be set with a behavior type of “Common Content”. If you specify more than one chapter with this behavior type, an error message will be displayed upon an attempt to save.
      • The contents of the designated “Common Content” chapter will be available for output on every page of the document. The style sheet associated with the project’s template determines when and where the content will display.

   6. “External Document”: This behavior option is similar to the existing “No Repeat” option.

      • Any number of chapters in the structure template may be set with this behavior type.
      • Only one item of type “External Document” can be placed in each chapter with this behavior type.

   The typical behavior for a Body chapter will be to repeat for each fund chosen in the “Funds” tab of the “Project Templates” page. The typical behavior for a Disclaimer chapter will be one chapter for all the funds; the chapter does not belong to any specific fund.

1. Specify a section name in the corresponding text box.

   Section names must be unique across all sections in a given document structure template.

2. If necessary, specify a section code in the corresponding text box.

   A value for this field is not required.

   • A value for this field is not required.

   • If PDF blacklining functionality will be used for projects using this template, the following criteria should be met with regard to this field in order to ensure accurate results.

     • A value should be provided and be unique within the structure template.
     • The value should be relatively short in length (the greater the number of characters, the more risk of non-unique ID values in output [and consequently, inaccurate blacklining]).

   Section/Fund Behavior Options:

   4. “All Funds - Repeat”: Inserts the content of the section for each fund assigned to the project. You could use this option for portfolio statements that need to be repeated for each fund.

      The fund name is displayed in parentheses next to sections with this behavior on both the “Project Templates” and “Project” pages.

   The typical behavior for a Body section will be to repeat for each fund chosen in the “Funds” tab of the “Project Templates” page. The typical behavior for a Disclaimer section will be one section for all the funds; the section does not belong to any specific fund.

4. Use the “Account Period” drop-down list to indicate whether section items represent the current or the prior account period.

   Account Period Behavior Options:

   1. “Current Account Period”: Returns data for the current account period for components in the section.

      This option is typically used for sections that represent a Table of Contents.

   2. “Fiscal Year End 1st prior”: Returns data for the most recent prior fiscal year end, as opposed to data for the current account period for components in the section.
   3. “Fiscal Year End 2nd prior”: Returns data for the second prior fiscal year end to the current fiscal year end, as opposed to data for the current account period for components in the section.
   4. “Fiscal Year End 3rd prior”: Returns data for the third prior fiscal year end to the current fiscal year end, as opposed to data for the current account period for components in the section.
   5. “Fiscal Year Semi End 1st prior”: Returns data for the semi-annual account period found in the first prior fiscal year, as opposed to data for the current account period for components in the section.

   The “Fiscal year end changes” setting for the fund on the “Funds” page must be respected if it falls within one of the existing data points.
