Managing Financial Workbooks

Intro

The “Financial Workbook” page displays the financial workbook associated with the currently-selected account period and fund. From this page, you can make journal entries to accounts and manage associated trial balance data, calculation information, etc.

Tasks

• Viewing/Editing working trial balance information in a financial workbook

  1. Expand the ArcReporting “Financials” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcReporting” from the components list.

        

     3. Click the “Reporting Workspace” tab at lower-left of the screen.

        

     4. Click the “Financials” menu to view available items.

        If the “Account Period”, “Complex” and “Fund” relevant to the data you wish to view are not currently selected, choose them using the either selection button at upper-left of the screen or the selection bar across the top of the window.

        • Using the selection bar

          1. Click the “[Select Date]” text or “»” symbol.

             All open account periods associated with a project, and to which you have access, are displayed.

             

          2. Click the “[Select Complex]” text or “»” symbol.

             Complexes with projects associated with the specified date are displayed.

             

             If only one complex is available based on the specified date, the complex is automatically chosen.

          3. Click the “[Select Group]” text or “»” symbol.

             Groups associated with the specified complex with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Fund Groups”, which automatically fills in “All Funds” in the step below. Some pages in Arc Suite (e.g., “Fund Holdings”), allow you to view information for more than one fund simultaneously. If a page does not support multiple fund display, then no information displays when “All Fund Groups » All Funds” is specified.

             

             If only one fund group is available based on the specified complex, the group is automatically chosen.

          4. Click the “[Select Fund]” text or “»” symbol.

             Funds associated with the specified group with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Funds”.

             

             If only one fund is available based on the specified group, the fund is automatically chosen.

          When all elements of the fund selection bar are specified, you have several options available in terms of viewing different sets of data for open pages.

          

          • Change the specified date. The list of dates is filtered for active projects for the specified fund. Changing the date refreshes the data for all open pages.
          • Change the complex. Changing the complex resets the group, and you’ll need to return to Step 3 above.
          • Change the group. Changing the group resets the fund, and you’ll need to return to Step 4 above.
          • Change the fund. Changing the fund refreshes the data for all open pages.
          • Reset the fund selection bar. Click the “Reset” button at any time to return to Step 1 above.

        • Using the selection button

          1. Click the selection button at upper-left of the window.

          2. Click the arrow at left of the desired account period to display the available complex(es) and associated fund group(s) and fund(s).
          3. Specify the “Complex”, “Fund Group” and “Fund” relevant to the project you wish to view.

  2. Click the “Financial Workbook” item.

     The “Financial Workbook” page displays.

     

  3. Click the “Balance Type” drop-down list at upper-left of the page to specify the balance type of the workbook data you wish to view/edit.

     • If data has only been loaded for one balance type, that balance type is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.
     • If data has been loaded for more than one balance type, the first balance type in the drop-down list is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.

     • When you change the drop-down list selection, all tabs of the page will refresh to reflect data associated with the specified balance type.

       • In general, if no data has been loaded to the specified balance type for a given line item, a value of “0” is returned.
     • Supplemental data cannot be loaded to different balance types; you can manually add supplemental data to financial statements at a given balance type, however.
  4. Click the tab at left of the tab set that represents the trial balance definition you wish to view (multiple tabs may be displayed, one for each of the trial balance definitions for the financial workbook template upon which the workbook is based).

  5. Specify the “Class” whose values you wish to view using the corresponding drop-down list at upper-left of the tab.

     • Available selections in the “Class” drop-down list are “<All Classes>” and all other classes that are associated with the selected fund, as seen on the “Funds” page.

       • “<All Classes>” is the default selection when the tab is initially opened.
     • The drop-down list is enabled even when the calculation status of the workbook is “Closed”.

     1. You can view any journal entries made for any given account line item on a trial balance by clicking the value in either the “Cumulative Debit” or “Cumulative Credit” column of the grid for that account.

  6. To edit historical data values, click the “Enable History Editing” link at the upper-right of the tab.

     “Ending Balance” columns of the balances grid for rows representing trial balance items, subsection totals, section totals, “Net Investment Income”, “Realized Gain/Loss”, “Unrealized Gain/Loss”, “Total Net Assets (A-L)” and Total Net Assets (Capital) become editable (i.e., the cells’ background color becomes white).

     1. Enter new numeric values and/or specify appropriate rounding levels for statement line items, as needed.

        • Rows beneath items such as accounts, class and currency are never editable.
        • You can adjust values independently for each rounding level and class (including “None/All”).
        • Changes to the “Ending Balance (Raw)” value will affect both Primary and Secondary rounding level values.
        • When you select a particular class, edits made to trial balance sections, sub-sections, and items will be made to that class-specific value for that item. To change the “None/All” value, specify “None/All” as the “Class” drop-down list selection.
        • For currency-type trial balance items, the currency-level value cannot be updated. However, with “None/All” selected, you can update the “None/All” value of a currency-type item.

  7. Click the “Save” button at lower-right of the page.

  Exporting trial balance information

  A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

  1. Click the “Export data” button at lower-right of the pane where existing items are listed to export data from the grid.

     The “Export Format” dialogue displays.

     1. Select the option button next to the file format to which you’d like the data saved.

        •  .XML

          Places data in XML format, which can be opened in a web browser or in Microsoft Excel.

        •  .DOC

          Places data in a table within a Word document.

        •  .CSV

          Places data in a comma-delimited format, which is typically opened in Microsoft Excel.

        •  .HTM

          Places data in an HTML table within a web page, which can be opened in a web browser or in Microsoft Word or Excel.

        •  .TXT

          Places data in a tab-delimited text file, which can be opened in a text editor (e.g., Notepad) or in Microsoft Excel.

     2. Click the “Accept” button at lower-right of the dialogue.

        The “Save As” dialogue displays.

        1. Specify a local or network directory in which to store the file, and provide a “File name”.
        2. Click the “Save” button.
• Viewing trial balance year to date total information in a financial workbook

  When trial balance year to date totaling functionality is enabled for a given financial workbook via settings specified on the “Trial Balance Year To Date (YTD)” tab of the “Financial Workbook Templates” page, the workbook will sum all trial balance data that has been loaded since the last fiscal year end of the fund and produce an ending year to date value. You can view trial balance year to date total information for a workbook by carrying out the steps below.

  1. Expand the ArcReporting “Financials” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcReporting” from the components list.

        

     3. Click the “Reporting Workspace” tab at lower-left of the screen.

        

     4. Click the “Financials” menu to view available items.

        If the “Account Period”, “Complex” and “Fund” relevant to the data you wish to view are not currently selected, choose them using the either selection button at upper-left of the screen or the selection bar across the top of the window.

        • Using the selection bar

          1. Click the “[Select Date]” text or “»” symbol.

             All open account periods associated with a project, and to which you have access, are displayed.

             

          2. Click the “[Select Complex]” text or “»” symbol.

             Complexes with projects associated with the specified date are displayed.

             Groups associated with the specified complex with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Fund Groups”, which automatically fills in “All Funds” in the step below. Some pages in Arc Suite (e.g., “Fund Holdings”), allow you to view information for more than one fund simultaneously. If a page does not support multiple fund display, then no information displays when “All Fund Groups » All Funds” is specified.

             

             If only one fund group is available based on the specified complex, the group is automatically chosen.

          4. Click the “[Select Fund]” text or “»” symbol.

     The tab displays only if the “Enable Trial Balance Year To Date (YTD) totaling for workbook” check box is selected for the workbook’s template via the “Trial Balance Year To Date (YTD)” tab of the “Financial Workbook Templates” page.

• Managing fund data points in a financial workbook

  4. Click the “Fund Data Points” tab.

     

  5. You can manually update any values displayed by typing directly in the grid.

     Cells in the grid are disabled when the calculation status of the workbook is “Closed”, or if calculations have been locked for the specified fund, account period and balance type.

     Click the “Refresh data” button at lower-right of the tab to display the latest fund data point information contained in the database.

  6. Click the “Save” button at lower-right of the page.

  You can sort, group and filter information in a grid through various means in order to find what you’re looking for more easily.

  

  Grid Management

  1. Filtering: You can filter the items presented in a grid by using the “Filter” buttons at the top of any column.

     1. To remove any particular column filter, click the “Filter” button at the top of that column, and then click the “Clear Filter” button on the filter criteria dialogue that displays.

     2. To remove all column filters for the grid at once, click the “Clear all filters” button at upper-left of the grid.

        The “Clear all filters” button is not available on all Arc Suite grids.

        • The “Clear all filters” button is not available on all Arc Suite grids.
        • Column filtering only affects the rows that have been loaded in the grid. If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), be sure all available rows have been loaded if you expect column filtering to affect all securities in the data set.
  2. Sorting: You can sort items in a grid by clicking any column header. Once sorted, the column header will change color and indicate whether the list is sorted in ascending or descending order.

  3. Grouping: In some grids, the items can be grouped in the display by selecting a column header, and then dragging it into the “Grouped by” area of a grid.

     1. To expand or collapse a grouping, click the buttons, respectively, at left of the grouping row in the grid.

     2. To remove a grouping, hover your cursor over the grouping box, and then click the “Remove” button that displays on its right.

        

  4. Grid Splitting: Grids feature a vertical splitter bar, which you can grab and move over the line dividing any two columns. As you scroll horizontally to see more columns of data, the columns to the left of the splitter bar are “frozen” in view.

  5. Pagination: Some grids feature a “Rows Per Page” spinner control at lower-left, which you can use to specify the maximum number of records/rows to display in the grid at once. If the number of records in the database meeting the specified criteria exceeds the specified “Rows Per Page” value, a set of navigation controls at lower-right of the grid is enabled to allow access to the records in successive grid “pages”.

     If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), the value specified for the associated “FundHoldingsGridPageSize” setting will determine the upper limit of the “Rows Per Page” spinner control, as well as how many rows are loaded at once to the grid.

  Importing fund information records

  Fund balance information can be loaded utilizing the secure FTP site process. See the “Transferring Load Files via Secure FTP” topic for details on using this method.

  Be sure to select and upload the source data to the FundBalance folder for the type of source file you’re using in the FTP directory for your respective environment.

  

  As an alternative to manually entering fund balance information one record at a time via the associated application page or using the secure FTP load process, you can import multiple fund records at once, along with their associated information, using an Excel (XLS) source file. Follow these steps to do so:

  1. Expand the ArcFiling “N-MFP” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcFiling” from the components list.

        

     3. Click the “Filings Workspace” tab at lower-left of the screen.

        

     4. Click the “N-MFP” menu to view available items.

        If the “Account Period”, “Complex” and “Fund” relevant to the data you wish to view are not currently selected, choose them using the either selection button at upper-left of the screen or the selection bar across the top of the window.

        • Using the selection bar

          1. Click the “[Select Date]” text or “»” symbol.

     The “Financial Workbook” page displays.

     

  5. Click the “Fund Data Points” tab.

     

  6. Click the “Get import template” button at lower-right of the pane where existing items are listed to retrieve an Excel import file template.

     The “File Download” dialogue displays.

     

     1. Click the “Open” button to open the template within Microsoft Excel.
     2. Or, click the “Save” button, and then specify a local or network directory in which to store the template.
  7. Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “FundInformationImport_20101231.xls”).
  8. Populate your new file with information for as many exchange rate records as you’d like to import, and then save it (see the “Fund Information Import File Structure” table for specifics).

  9. Click the “Import data” button at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

     The “Fund Information Import” dialogue displays.

     

     1. Select your import file using the “Browse” button at right of the “File” field.

        

     2. Specify the import behavior options you’d like to use.

        1. Specify whether only new records in your file should be imported to the database, or whether any records it has that match existing database records should also be imported.

           By default, the “Import New Records Only” option is selected.

           Existing records will be overwritten by those contained in your file if you choose the latter option!

     3. Click the “Preview” button at lower-right of the “Options” section.

        The record(s) to be imported display in the grid.

     4. Click the “Accept” button at lower-right of the dialogue.

        The records are imported to the database.

  You can go to the dataload “Archive” page at any time to see the result of the import process by clicking the corresponding “View Details” link.

  The system automatically rejects any import that contains one or more records associated with a “Closed” account period.

  Exporting fund information

     • If data has been loaded for more than one balance type, the first balance type in the drop-down list is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.

     • When you change the drop-down list selection, all tabs of the page will refresh to reflect data associated with the specified balance type.

       • In general, if no data has been loaded to the specified balance type for a given line item, a value of “0” is returned.
     • Supplemental data cannot be loaded to different balance types; you can manually add supplemental data to financial statements at a given balance type, however.

  4. Click the “Class Balances” tab.

     

  5. You can manually update any class-level values displayed by typing directly in the grid.

     Cells in the grid are disabled when the calculation status of the workbook is “Closed”, or if calculations have been locked for the specified fund, account period and balance type.

     Click the “Refresh data” button at lower-right of the tab to display the latest class balances information contained in the database.

  6. Click the “Save” button at lower-right of the page.

  You can sort, group and filter information in a grid through various means in order to find what you’re looking for more easily.

  

  Grid Management

  1. Filtering: You can filter the items presented in a grid by using the “Filter” buttons at the top of any column.

     1. To remove any particular column filter, click the “Filter” button at the top of that column, and then click the “Clear Filter” button on the filter criteria dialogue that displays.

     2. To remove all column filters for the grid at once, click the “Clear all filters” button at upper-left of the grid.

        The “Clear all filters” button is not available on all Arc Suite grids.

        • The “Clear all filters” button is not available on all Arc Suite grids.
        • Column filtering only affects the rows that have been loaded in the grid. If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), be sure all available rows have been loaded if you expect column filtering to affect all securities in the data set.
  2. Sorting: You can sort items in a grid by clicking any column header. Once sorted, the column header will change color and indicate whether the list is sorted in ascending or descending order.

  3. Grouping: In some grids, the items can be grouped in the display by selecting a column header, and then dragging it into the “Grouped by” area of a grid.

     1. To expand or collapse a grouping, click the buttons, respectively, at left of the grouping row in the grid.

     2. To remove a grouping, hover your cursor over the grouping box, and then click the “Remove” button that displays on its right.

        

  4. Grid Splitting: Grids feature a vertical splitter bar, which you can grab and move over the line dividing any two columns. As you scroll horizontally to see more columns of data, the columns to the left of the splitter bar are “frozen” in view.

  5. Pagination: Some grids feature a “Rows Per Page” spinner control at lower-left, which you can use to specify the maximum number of records/rows to display in the grid at once. If the number of records in the database meeting the specified criteria exceeds the specified “Rows Per Page” value, a set of navigation controls at lower-right of the grid is enabled to allow access to the records in successive grid “pages”.

     If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), the value specified for the associated “FundHoldingsGridPageSize” setting will determine the upper limit of the “Rows Per Page” spinner control, as well as how many rows are loaded at once to the grid.

  Importing class information records

  Class balance information can be loaded utilizing the secure FTP site process. See the “Transferring Load Files via Secure FTP” topic for details on using this method.

  Be sure to select and upload the source data to the ClassBalance folder for the type of source file you’re using in the FTP directory for your respective environment.

  

  As an alternative to manually entering class information one record at a time via the associated application page or using the secure FTP load process, you can import multiple class records at once, along with their associated information, using an Excel (XLS) source file. Follow these steps to do so:

  1. Expand the ArcFiling “N-MFP” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcFiling” from the components list.

        

     3. Click the “Filings Workspace” tab at lower-left of the screen.

     2. Or, click the “Save” button, and then specify a local or network directory in which to store the template.
  7. Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “ClassInformationImport_20101231.xls”).
  8. Populate your new file with information for as many exchange rate records as you’d like to import, and then save it (see the “Class Information Import File Structure” table for specifics).

  9. Click the “Import data” button at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

     The “Class Information Import” dialogue displays.

     

     1. Select your import file using the “Browse” button at right of the “field” field.

     2. Click the “Options” tab to specify which class information properties (if any) to overwrite with values contained in the source file.

        

        By default, all check boxes on the tab are cleared.

        1. Select the “Overwrite values with blanks” check box at the top of the tab to stipulate that a blank value in the data source file will overwrite existing values in the database for any fields whose corresponding “overwrite” check box is selected; if the check box is cleared, blank values that may exist in the data source file will not overwrite existing values in the database.

        • When the check box for any given property is selected, data from the source file for that property will be loaded, even if the source file contains a zero or blank value.

        • For both automated FTP and manual push-button imports, any fields that are absent from the data source file will effectively have their corresponding check box cleared, regardless of the check box’s status on the application user interface.

        You can use the “Select all” or “Clear all” links to quickly select/clear the check boxes.

     3. Click the “Process” tab to specify whether or not you wish to preview data in the source file before importing.

        1. Preview data before it imports:

           1. Click the “Process” button at left of the tab.

              The record(s) to be imported display in the grid.

              

              1. Review information for each record included in the import file via the grid of the “Process” tab.

              2. Click the “Errors” tab to read any information provided for specific rows in the data import source file.

                 

                 If warnings and/or errors were encountered, you can take the steps necessary to resolve them (either by editing the source file accordingly, or making appropriate adjustments to database library settings, etc.), and then attempt to reload the data.

              3. Click the “Accept” button or “Reject” button at lower-right of the “Process” tab when you’re ready to import the data.

                 The records are imported to the database.

        2. Import data without preview:

           1. Click the “Process” button at left of the tab.

              The import settings dialogue closes, records are placed in the import processing queue and the load will be automatically accepted by Arc Suite if it yields no prohibitive errors (otherwise, it will be rejected).

        • Only one file can be imported and processed at a time.

        • The system automatically rejects any import that contains one or more records associated with a “Closed” account period.

  You can go to the dataload “Archive” page at any time to see the result of the import process by clicking the corresponding “View Details” link.

  Exporting class balance information

  A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

  1. Click the “Export data” button at lower-right of the pane where existing items are listed to export data from the grid.

     The “Export Format” dialogue displays.

     1. Select the option button next to the file format to which you’d like the data saved.

        •  .XML

          Places data in XML format, which can be opened in a web browser or in Microsoft Excel.

        •  .DOC

          Places data in a table within a Word document.

        •  .CSV

          Places data in a comma-delimited format, which is typically opened in Microsoft Excel.

        •  .HTM

          Places data in an HTML table within a web page, which can be opened in a web browser or in Microsoft Word or Excel.

          Places data in a tab-delimited text file, which can be opened in a text editor (e.g., Notepad) or in Microsoft Excel.

     • When you change the drop-down list selection, all tabs of the page will refresh to reflect data associated with the specified balance type.

     • Supplemental data cannot be loaded to different balance types; you can manually add supplemental data to financial statements at a given balance type, however.

  4. Click the “Calculation Sheets” tab.

     

  5. Specify the “Sheet” whose values you wish to view using the corresponding drop-down list at upper-left of the tab.

     • Available selections in the “Sheet” drop-down list are all calculation sheets defined for the financial workbook template.
     • The drop-down list is enabled even when the calculation status of the workbook is “Closed”.

     1. You can view the calculation sheet item formula for any given value on a sheet by left-clicking the value hyperlink in the grid. This invokes the “Calculation Sheet Item Detail” dialogue, in which all formula elements for the item display.

  6. If necessary, edit the properties or structure of the currently-selected calculation sheet, or any values therein.

     1. To edit the calculation sheet item formula for any given value on a sheet, right-click the item in the grid and choose “Edit calculation sheet item formula” from the context menu.

        The “Edit Calculation Sheet Item” dialogue displays, through which you can make the required adjustments.

        • You must be assigned the “Add/Edit Financial Workbook Templates” user right to carry out this task step. If you are not assigned this right, the dialogue will still display, but all controls thereon will be disabled.
        • You must also be assigned the ““Adjust Absolute Value Settings”” user right in order to select/clear the absolute value check box (“|x|”) for any given formula element.

     2. If you wish to edit any values in the currently-selected calculation sheet and/or edit the properties or structure of the sheet itself, click the “Edit Sheet” link at right of the “Sheet” drop-down list.

        The “Financial Workbook Templates” page opens.

        • You must be assigned the “Open Financial Workbook Templates Page” and “Add/Edit Financial Workbook Templates” user rights to carry out this task step.
        • If you update settings for the selected sheet (or make any other change to the workbook template), they will be reflected via the “Financial Workbook” page only after it is manually refreshed or closed/re-opened.

  7. To edit historical data values, click the “Enable History Editing” link at the upper-right of the tab.

     Specific cells in the balances grid become editable (i.e., the cells’ background color becomes white), dependent on the type of sheet selected.

     1. Enter new numeric values for statement line items, as needed.

        Editable columns are as follows:

        • Sheets of type “Classes Across”

          • “None/All”
          • <each column representing a class>

        • Sheets of type “Classes Down”

          • “Value”

        • Sheets of type “Currency”

          • <each column representing a currency>
          • “None/All”

        • Sheets of type “N-SAR”

          • “Value”

  8. Click the “Save” button at lower-right of the page if any updates were made.

  • When calculating a section total for a sheet of type “Currency”, a total is calculated per currency.

    

  • The “None/All” value sums the total of all currency values.

    

  • When pulling values from the “Fund Holdings” page, the values are filtered by the “Currency Code” value.

    

    

  • When year to date totaling is enabled for a workbook, “Ending/Year to Date Balance” values are pulled and used for consolidation source logic.

    Year to date totaling is enabled for a given financial workbook when the “Enable Trial Balance Year To Date (YTD) totaling for workbook” check box is selected on the “Trial Balance Year To Date (YTD)” tab of the “Financial Workbook Templates” page for that workbook’s template.

  You can sort, group and filter information in a grid through various means in order to find what you’re looking for more easily.

  

  Grid Management

  1. Filtering: You can filter the items presented in a grid by using the “Filter” buttons at the top of any column.

     1. To remove any particular column filter, click the “Filter” button at the top of that column, and then click the “Clear Filter” button on the filter criteria dialogue that displays.

     2. To remove all column filters for the grid at once, click the “Clear all filters” button at upper-left of the grid.

        The “Clear all filters” button is not available on all Arc Suite grids.

        • The “Clear all filters” button is not available on all Arc Suite grids.
        • Column filtering only affects the rows that have been loaded in the grid. If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), be sure all available rows have been loaded if you expect column filtering to affect all securities in the data set.
  2. Sorting: You can sort items in a grid by clicking any column header. Once sorted, the column header will change color and indicate whether the list is sorted in ascending or descending order.

  3. Grouping: In some grids, the items can be grouped in the display by selecting a column header, and then dragging it into the “Grouped by” area of a grid.

     1. To expand or collapse a grouping, click the buttons, respectively, at left of the grouping row in the grid.

     2. To remove a grouping, hover your cursor over the grouping box, and then click the “Remove” button that displays on its right.

        

  4. Grid Splitting: Grids feature a vertical splitter bar, which you can grab and move over the line dividing any two columns. As you scroll horizontally to see more columns of data, the columns to the left of the splitter bar are “frozen” in view.

  5. Pagination: Some grids feature a “Rows Per Page” spinner control at lower-left, which you can use to specify the maximum number of records/rows to display in the grid at once. If the number of records in the database meeting the specified criteria exceeds the specified “Rows Per Page” value, a set of navigation controls at lower-right of the grid is enabled to allow access to the records in successive grid “pages”.

     If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), the value specified for the associated “FundHoldingsGridPageSize” setting will determine the upper limit of the “Rows Per Page” spinner control, as well as how many rows are loaded at once to the grid.

  Exporting calculation sheet data

  To export data for all calculation sheets in the workbook, follow the steps outlined below:

  1. Click the “Generate calculation sheet audit report” button at lower-right of the page.

     Data for all calculation sheets in the workbook (not just the one specified via the “Sheet” drop-down list) is gathered from the Arc Suite database and an output request is sent to the Output Queue.

  2. Open the Output Queue by clicking the “Output Queue” button at far upper-right of the screen.

     When processing is complete, one Excel file will be created that contains one worksheet tab containing all data for the workbook calculation sheet(s).

  3. Click the “Save Output” link at right of the document listed in the grid to save its output to your local or network drive.

     The “Save Output Queue” dialogue displays.

     

     1. Click the “Accept” button at lower-right of the dialogue once the document has downloaded in order to specify its name and location on your drive.
     2. Click the “Cancel” button at lower-right of the dialogue to close it without saving the document.
• Previewing a financial statement within a financial workbook

  You can preview financial statement content for a specific reporting period by opening the statement within the context of a financial workbook on the “Financials” tab of the “Financial Workbook” page.

  The statement preview reflects the organization defined in the statement’s template, as well as specific output options designated for the template content (e.g., display of numeric values, casing of text strings, date formats, etc.).

  1. Expand the ArcReporting “Financials” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcReporting” from the components list.

        

     3. Click the “Reporting Workspace” tab at lower-left of the screen.

        

     4. Click the “Financials” menu to view available items.

        If the “Account Period”, “Complex” and “Fund” relevant to the data you wish to view are not currently selected, choose them using the either selection button at upper-left of the screen or the selection bar across the top of the window.

        • Using the selection bar

          1. Click the “[Select Date]” text or “»” symbol.

             All open account periods associated with a project, and to which you have access, are displayed.

             

          2. Click the “[Select Complex]” text or “»” symbol.

             Complexes with projects associated with the specified date are displayed.

             

             If only one complex is available based on the specified date, the complex is automatically chosen.

          3. Click the “[Select Group]” text or “»” symbol.

             Groups associated with the specified complex with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Fund Groups”, which automatically fills in “All Funds” in the step below. Some pages in Arc Suite (e.g., “Fund Holdings”), allow you to view information for more than one fund simultaneously. If a page does not support multiple fund display, then no information displays when “All Fund Groups » All Funds” is specified.

             

             If only one fund group is available based on the specified complex, the group is automatically chosen.

          4. Click the “[Select Fund]” text or “»” symbol.

             Funds associated with the specified group with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Funds”.

             

             If only one fund is available based on the specified group, the fund is automatically chosen.

          When all elements of the fund selection bar are specified, you have several options available in terms of viewing different sets of data for open pages.

          

          • Change the specified date. The list of dates is filtered for active projects for the specified fund. Changing the date refreshes the data for all open pages.
          • Change the complex. Changing the complex resets the group, and you’ll need to return to Step 3 above.
          • Change the group. Changing the group resets the fund, and you’ll need to return to Step 4 above.
          • Change the fund. Changing the fund refreshes the data for all open pages.
          • Reset the fund selection bar. Click the “Reset” button at any time to return to Step 1 above.

  3. Click the “Balance Type” drop-down list at upper-left of the page to specify the balance type of the workbook data you wish to view/edit.

     • If data has only been loaded for one balance type, that balance type is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.
     • If data has been loaded for more than one balance type, the first balance type in the drop-down list is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.

       • “(none)” is the default selection if more than one project is listed in the drop-down list.
       • If there is only one project in the drop-down list, the default selection of the drop-down list is that project.

     • The “Multi-Language Behavior” setting on the “Settings” tab of the “Project Templates” page for the selected project determines whether a “Language” drop-down list will display at right of the “Project” drop-down list.

       • If set to “Separate outputs for each language” then a “Language” drop-down list will display at right of the “Project” drop-down list. Languages available for selection are limited to those which were defined in the project template for the selected project, when the template and the project were last “in-sync”.

         • “(none)” is the default selection if more than one language is listed in the drop-down list.
         • If there is only one language in the drop-down list, the default selection of the drop-down list is that language.
       • If set to “One output containing multiple languages” then the “Language” drop-down list will not display.

     • Available selections in the “Statement” drop-down list are financial statements in use in the selected project and language.

       • “(none)” is the default selection if more than one statement is listed in the drop-down list.
       • If there is only one statement in the drop-down list, the default selection of the drop-down list is that statement.
       • Only statements contained in chapters relevant to the currently-selected fund will be displayed (i.e., “All Funds - Single” or “All Funds - Repeat” [for that fund only] for spreads).
       • Once you’ve selected a statement and it is rendered in the preview pane, it will remain selected as long as the “Financial Workbook” page is open (even when you click from one tab to another, make journal entries, recalculate, etc.).
     • If a “Custom Heading” item is included in the financial statement’s structure, a read-only multi-line text box is displayed beneath the drop-down lists at the top of the tab, in which the specified heading text, or content of the specified text snippet, displays.

     • When previewing a financial statement with multiple funds or horizontal totals, Arc Suite verifies that all funds in the statement have a calculation status of “Calculated” before data displays in the preview pane.

       • If it is determined that data for all funds has not been calculated, all funds on the spread are calculated.
       • The financial preview pane uses the same engine as the preview pane on the “Project” page. Therefore, if the currently-selected fund is part of a spread, all funds in the spread display.
       • Once calculations are completed, all values (including horizontal totals) are current.
       • If the selected account period has a “Status” of “Closed” for the specified complex, the statement may be previewed, but calculations do not run (stored values display).

     Click the “Refresh data” button at lower-right of the tab to refresh statement preview content to reflect any changes made to either the statement’s associated template or output settings.

• Viewing proofing statement statuses in a financial workbook

Any discrepancy in values for any given element is indicated by a colored icon () and by the value in the “Variance” column of the grid.

     

     The first (topmost) element within each proofing group represents the “baseline” element, against which all other elements in a given proofing group will be compared.

     Use the “Status” drop-down list to filter the grid results by “<All Proofs>”, “Passed” or “Failed”.

• Managing footnotes for financial statements

     You can also use the “Display” drop-down list at lower-left of the tab to filter the display of assigned footnotes to conditional- or static-type footnotes, or both.

     • Specify “Conditional and static footnote assignments” (default selection when the page is opened) to cause all footnote assignments to display in the grid.
     • Specify “Conditional footnote assignments” to display only assignments for footnotes that have the “Conditional Display” check box selected via the “Add/Edit General Ledger Footnote Details” dialogue in the footnote library.
     • Specify “Static footnote assignments” to display only assignments for footnotes that do not have the “Conditional Display” check box selected.

  6. To assign a footnote to a line item, left-click, hold and drag the footnote from the “Available Footnotes” grid at right of the tab to the appropriate column of the statement grid at left.

     • The “Available Footnotes” grid displays footnotes contained in the library that is associated with the current fund via the “Settings” tab of the “Financial Workbook Templates” page.
     • The “Caption Footnote(s)” column displays in the statement grid only if “Value” is selected in the “Value” drop-down list; it is hidden when any other value is selected.
     • The “Horizontal Total Value” column and associated “HT Footnote(s)” column display in the statement grid only if the “Enable horizontal totaling for workbook” check box is selected for the template associated with the workbook.

     • As footnotes are added to the statement line items grid, their “Fund(s)”, “Account Period(s)” and “Base Class(es)” values will default to the following:

       • Fund(s): Currently-selected fund
       • Account Period(s): Currently-selected account period (actual date)

       • Base Class(es): Currently-selected “Base Class” value

         • This might be a specific class or “<All Classes>”.
     • Footnotes cannot be applied to line items that have no mapping for “Value 1” - “Value 10” (i.e., line items with a “Name” of “<Undefined - No Item Mapped>”).

     • A given footnote may not display in the grid immediately after it is assigned, if the “Display” drop-down list setting is such that it filters the footnote from view.

     You can see the text of any footnote in the “Available Footnotes” grid for a specified account period, language and/or fund, as applicable, by clicking its corresponding “Preview footnote content” link.

     The “Footnote Content” dialogue displays.

     

  7. To edit the footnote(s) assigned to a given line item, click the footnote link in the statement grid at left of the tab.

     The “Assigned Footnotes” dialogue displays.

     

     1. Click the link in the “Fund(s)” column for a given footnote to specify the fund(s) for which it will be applied in output.

        The Select Fund(s) dialogue displays.

        1. Use the check box(es) in the grid to specify the appropriate fund(s).

        2. Click the “Accept” button at lower-right of the dialogue.

     2. Click the “Applied To” link to specify the line item element to which the footnote is attached.

        1. Clicking the link causes it to toggle between the following selections:

           1. “Caption”

              This selection is only available if “Value” is specified in the “Value” drop-down list; it is absent when any other value is selected.

           2. “Value”

           3. “Horizontal Total”

              This selection is only available if “Value” is specified in the “Value” drop-down list; it is absent when any other value is selected.

     3. Click the link in the “Account Period(s)” column for a given footnote to specify the account period(s) with which it will be associated.

        The Select Account Period(s) dialogue displays.

        1. Use the check box(es) in the grid to specify the appropriate account period(s).

        2. Click the “Accept” button at lower-right of the dialogue.

     4. Click the link in the “Base Class(es)” column for a given footnote to specify the base class(es) for which it will be applied in output

        The Select Base Class(es) dialogue displays.

        1. Use the check box(es) in the grid to specify the appropriate base class(es).

        2. Click the “Accept” button at lower-right of the dialogue.

     5. Click the “Delete” button at lower-right of the dialogue to remove a selected footnote from the line item.
     6. Click the “Accept” button at lower-right of the dialogue to save changes to the footnote(s) assigned to the line item.

  8. Click the “Save” button at lower-right of the page.

  5. Specify the “Project”, “Statement”, “Base Class”, “Value” and “Value Type” of the data you wish to view/edit using the corresponding drop-down lists at the top of the tab.

     • Available selections in the “Project” drop-down list are projects that are associated with the currently-selected account period, whose template specifies use of the currently-selected fund via its “Funds” tab, and the use of the current financial workbook via its “Settings” tab.

       • “(none)” is the default selection if more than one project is listed in the drop-down list.
       • If there is only one project in the drop-down list, the default selection of the drop-down list is that project.

     • Available selections in the “Statement” drop-down list are financial statements in use in the selected project.

       • “(none)” is the default selection if more than one statement is listed in the drop-down list.
       • If there is only one statement in the drop-down list, the default selection of the drop-down list is that statement.
       • Only statements contained in chapters relevant to the currently-selected fund will be displayed (i.e., “All Funds - Single” or “All Funds - Repeat” [for that fund only] for spreads).
       • Once you’ve selected a statement and its data is displayed on the tab, it will remain selected as long as the “Financial Workbook” page is open (even when you click from one tab to another, make journal entries, recalculate, etc.).

  6. To edit historical data values, click the “Enable Editing” link at the upper-right of the tab.

     Cells in the balances grid representing values for closed or locked account periods become editable (i.e., the cells’ background color becomes white).

     1. Enter new numeric values and/or specify appropriate rounding levels for statement line items, as needed.

  7. Click the “Save” button at lower-right of the page.

  If desired, you can click the “Extract Data” button at lower-right of the tab to generate an Excel spreadsheet that you can retrieve from the Output Queue.

  • The export file includes historical data for all funds and classes using the template for all closed account periods shown on the statement.

    If the statement doesn’t include any closed account periods, the generic historical data template is sent to the Output Queue.

    

  • You can update the file and use it to import the data back into Arc Suite, as needed.

    Only data for closed account periods is imported.

• Adjusting horizontal totals for statement line items

  1. Expand the ArcReporting “Financials” menu.

     • Available selections in the “Horizontal Total” drop-down list are “Horizontal Total Period 1” - “Horizontal Total Period 5”, but the number of selections actually displayed is based on the number of account period types associated with the current financial statement template.

       If a financial statement template only has “Current Account Period” and “Fiscal Year End 1st prior”, the drop-down list selections are filtered to only “Horizontal Total Period 1” and “Horizontal Total Period 2”.

       • Numeric values in the grid on the tab update automatically when the drop-down list selection is changed.

  6. To adjust the horizontal total value for any given line item, enter values in the “Adjustment Value” and “Adjustment Memo” cells of the row representing that line item.

     The value in the “Adjusted Horizontal Total” cell is automatically updated to reflect the calculated “Horizontal Total” value of the line item, plus the specified “Adjustment Value” value for that line item.

     • Cells in the grid are disabled when the calculation status of the workbook is “Closed”, or if calculations have been locked for the specified fund, account period and balance type.
     • No vertical totaling takes place.
     • Pivoted statements display in standard orientation in the grid.
     • Numeric values in the grid update automatically when any of the drop-down list selections on the tab is changed.
     • Numeric values in the grid update automatically if/when you updates values in calculation sheet items associated with the currently-selected “Statement”, and then recalculate the financial workbook.
     • All adjustments are stored per project, representing values for that period for that group of funds.
     • If the workbook’s account period is open for the complex, then the calculation engine will recalculate and foot the numbers that display on the “Working Trial Balance” and “Calculation Sheet” tabs.
     • When the “Use user-defined Average exchange rates for calculations check box is selected via the “Horizontal Totaling” tab of the “Financial Workbook Templates” page, values entered into the grid for “Average”-type rates will be used to calculate horizontal totals. The system-calculated average (sum of all rates / number of days with a rate) will be ignored.

  7. Click the “Save” button at lower-right of the page.

• Recalculating the current financial workbook

  4. Click the “Make Journal Entries” link at upper-right of the page to make one or more journal entries.

     The “Journal Entries” dialogue displays.

     

     • The “Make Journal Entries” link is disabled when the specified account period in ArcReporting has a “Status” of “Closed” for the specified complex, or if calculations have been locked for the specified fund, account period and balance type.

     • By default, “Debit” or “Credit” panes are displayed on the right half of the dialogue, in which journal entries can be made. However, if the “EnableJournalEntryTLedgerView” system setting has a value of “True”, a single “Journal Entry” pane is displayed, instead.

       

     1. Select the “Enable Auto Journal Entries” check box if you wish to automatically allocate a certain amount among the items included in the journal entry, based on a specified allocation method. Otherwise, leave this check box cleared.

        Additional allocation controls display on the dialogue.

        Once any update is made that puts the dialogue in an unsaved state, the check box is disabled; changes must either be saved or reverted to enable the check box again.

     2. Specify the “Trial Balance” whose account(s), class(es) and/or currency(ies) will be involved in the adjustment.

        The structure of the specified trial balance is displayed in the tree view control of the dialogue.

        Available selections include all trial balances displayed in the workbook (based on those defined via the “Financial Workbook Templates” page).

     3. To make all accounts in the specified trial balance available, select the “Include zero-balance accounts” check box (if the check box is cleared, only accounts with non-zero balances are displayed).

     4. Click and hold a class, account or currency in the “Working Trial Balance” pane, then drag and drop it into the group box at right of the dialogue.

        Use the “Find” area at lower-left of the dialogue to find instances of an account matching the criteria you enter in the “Account Code” and/or “Account Name” text boxes.

        • Accounts contained in any section having year to date totaling enabled cannot be dragged into either the group box at right when making journal entries in the “Default” balance set.

          Year to date totaling is enabled for a given trial balance section when that section is included in the “Available Section(s)” list box on the “Trial Balance Year To Date (YTD)” tab of the “Financial Workbook Templates” page, and when the “Enable Trial Balance Year To Date (YTD) totaling for workbook” check box on that tab is selected.

        • Any number of accounts, classes and/or currencies can be dragged into the group box.

          • An account can be dragged from the “Working Trial Balance” tree view into the group box.

            • Within one transaction, you can make adjustments to multiple accounts. Even if one account has a “Level” of “Class” and other accounts have a “Level” of “Currency”, both class- and currency-level adjustments can be made and saved in one transaction across the two accounts.
            • For accounts with a “Level” of “Currency”, if currency-level balance data exists, then all currencies are brought into the group box.
            • For accounts with a “Level” of “Class”, if class-level balance data exists, then all classes for this fund are brought into the group box.
            • For accounts with a “Level” of “Class”, if only a fund/composite-level balance exists, then only the account will be brought into the group box (none of its classes).

            • For accounts with a “Level” of “Class” or “Currency”, if there is no balance for that account, then the “Item Level” dialogue displays when the account is dropped on the group box, allowing you to specify whether the adjustment should be at a fund or class/currency level.

              

              • Clicking the “Accept” button at lower-right of the dialogue causes it to close and for the following to occur:

                • If the “Fund” option was selected, only the account is brought into the group box (but none of its classes/currencies).
                • If the “Class/Currency” option was selected, each of the account’s classes/currencies is brought into the group box (but not the account itself).
              • Clicking the “Cancel” button at lower-right of the dialogue causes it to close, with no drag/drop action completed (i.e., no account nor class/currency is brought into the group box).

          • For accounts with a “Level” of “Class”, per the rules below, one of the classes under that account can be dragged from the “Working Trial Balance” tree view into the group box.

            • Since the classes will not be displayed at all, adjustments at the class level cannot be made to accounts with account (composite)-level balances.
            • Adjustments at the currency level cannot be made to accounts with a “Level” of “Class”. In fact, no currencies are displayed under this scenario.

          • For accounts with a “Level” of “Currency”, per the rules below, one or more of those currencies can be dragged and dropped into the group box.

            • For accounts with a “Level” of “Currency”, account (composite)-level adjustments are not supported. Only currencies can be dragged to the group box.
            • For accounts with a “Level” of “Currency” when the you drag the account into the group box, all currencies will automatically be added to it, just as if you dragged each individual currency.

     5. Specify the amount to be debited or credited for items in the “Value” column of the “Debit” and “Credit” panes, respectively, or in the “Debit” and “Credit” columns of the “Journal Entry” pane. You can do this either automatically or manually.

        1. If the “Enable Auto Journal Entries” check box was selected, you can automatically allocate a certain amount among the accounts, based on a specified allocation method.

           1. Specify the desired option for allocation via the “Allocation Method” drop-down list.

              • “Average Net Assets - 1 Year” (default selection)

                • This option is based on the class balance data point “Average Net Assets - 1 Year”.
                • Each class is used as the numerator to determine that class’ pro-rata portion.
                • The sum of all the classes will equal the denominator.

              • “Average Net Assets - 6 Months”

                • This option is based on the class balance data point “Average Net Assets - 6 Months”.
                • Each class is used as the numerator to determine that class’ pro-rata portion.
                • The sum of all the classes will equal the denominator.

              • “Average Shares Outstanding”

                • This option is based on the class balance data point “Average Shares Outstanding”.
                • Each class is used as the numerator to determine that class’ pro-rata portion.
                • The sum of all the classes will equal the denominator.

              • “Ending Net Assets”

                • This option is based on the class balance data point “Net Assets of the Class”.
                • Each class is used as the numerator to determine that class’ pro-rata portion.
                • The sum of all the classes will equal the denominator.

              • “Gross Income”

                • This option is based on the “Total Income” section total line on the working trial balance tab.
                • The numerator for each class is based on the “Total Income” section total line from each class-specific trial balance.
                • The denominator is based on the “Total Income” section total line from the “None/All” trial balance.
                • The numerator and denominator will use the “Ending Balance (Raw)” value when computing the pro-rata portion for each class.

              • “Gross Expenses”

                • This option is based on the “Total Expenses” section total line on the working trial balance tab.
                • The numerator for each class is based on the “Total Expenses” section total line from each class-specific trial balance.
                • The denominator is based on the “Total Expenses” section total line from the “None/All” trial balance.
                • The numerator and denominator will use the “Ending Balance (Raw)” value when computing the pro-rata portion for each class.

              • “Net Investment Income”

                • This option is based on the “Net Investment Income” section total line on the working trial balance tab.
                • The numerator for each class is based on the “Net Investment Income” section total line from each class-specific trial balance.
                • The denominator is based on the “Net Investment Income” section total line from the “None/All” trial balance.
                • The numerator and denominator will use the “Ending Balance (Raw)” value when computing the pro-rata portion for each class.

              If you specify an allocation method that contains both a fund-level account and class-level account and you are making journal entries to fund-level accounts, the percentages displayed and used in the allocation will only be based on the total class-level account balances.

           2. Enter the value you wish to allocate to the selected accounts in the “Input Value” text box. This value will be used for both the “Debit” and “Credit” entry.

           3. Click the “Allocate” button at right of the “Input Value” text box(es) to allocate the amount entered, according to the specified allocation method.

              The percentage used to allocate the pro-rata portion of the input value to each class account will display in the “Allocation %” column of the journal entry grid.

              • If a class-level account contains a zero balance for the specified allocation method, a “0%” value will be returned.

              • A value will be returned for each class account in the grid along with total values.

                • If the sum of the class-level accounts does not equal the specified “Input Value”, the text “Allocation Issue” will display in red next to the “Allocate” button. In this case, you must manually change one of the class accounts in order to get the total lines to match the “Input Value” and resolve the allocation issue.
              • If you dragged a fund-level account to the group box, the allocation percentage returned will be “100%”.

        2. Whether the “Enable Auto Journal Entries” check box was cleared or selected, you can manually enter amounts to be debited/credited for each item in the grid.

           If the “Enable Auto Journal Entries” check box is selected, normally-editable value column cells are initially read-only when an account is dragged/dropped into the grid.

           • After a value is entered in the “Input Value” text box and the “Allocate” button is clicked, cells in the column for class-level accounts are populated with values according to the specified allocation method; cells in the column for fund-level accounts are populated with a value representing “100%”, regardless of the specified allocation method.
           • After The “Allocate” button is clicked and cells in the column are populated with values, the cells are editable (allowing you to make manual adjustments, as needed).
     6. Provide a “Memo” for the adjustment batch in the corresponding text box.

     7. Click the “Save” button at lower-right of the dialogue.

• Automatically reclassing negative-balance accounts in a financial workbook

  1. Expand the ArcReporting “Financials” menu.

     1. Click the “Home” button at the top of the application window to return to the landing page.

     2. Select “ArcReporting” from the components list.

        

     3. Click the “Reporting Workspace” tab at lower-left of the screen.

        

     4. Click the “Financials” menu to view available items.

        If the “Account Period”, “Complex” and “Fund” relevant to the data you wish to view are not currently selected, choose them using the either selection button at upper-left of the screen or the selection bar across the top of the window.

        • Using the selection bar

          1. Click the “[Select Date]” text or “»” symbol.

             All open account periods associated with a project, and to which you have access, are displayed.

             

          2. Click the “[Select Complex]” text or “»” symbol.

             Complexes with projects associated with the specified date are displayed.

             

             If only one complex is available based on the specified date, the complex is automatically chosen.

          3. Click the “[Select Group]” text or “»” symbol.

             Groups associated with the specified complex with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Fund Groups”, which automatically fills in “All Funds” in the step below. Some pages in Arc Suite (e.g., “Fund Holdings”), allow you to view information for more than one fund simultaneously. If a page does not support multiple fund display, then no information displays when “All Fund Groups » All Funds” is specified.

             

             If only one fund group is available based on the specified complex, the group is automatically chosen.

          4. Click the “[Select Fund]” text or “»” symbol.

             Funds associated with the specified group with active projects for the specified date are displayed.

             

             Alternatively, you can specify “All Funds”.

             

             If only one fund is available based on the specified group, the fund is automatically chosen.

          When all elements of the fund selection bar are specified, you have several options available in terms of viewing different sets of data for open pages.

          

          • Change the specified date. The list of dates is filtered for active projects for the specified fund. Changing the date refreshes the data for all open pages.
          • Change the complex. Changing the complex resets the group, and you’ll need to return to Step 3 above.
          • Change the group. Changing the group resets the fund, and you’ll need to return to Step 4 above.
          • Change the fund. Changing the fund refreshes the data for all open pages.
          • Reset the fund selection bar. Click the “Reset” button at any time to return to Step 1 above.

        • Using the selection button

          1. Click the selection button at upper-left of the window.

             All open account periods associated with a project, and to which you have access, are displayed.

             

             If an account period has already been specified via the fund selection bar (see above), the list under the fund selection button automatically expands that date.

             

          2. Click the arrow at left of the desired account period to display the available complex(es) and associated fund group(s) and fund(s).
          3. Specify the “Complex”, “Fund Group” and “Fund” relevant to the project you wish to view.

  2. Click the “Financial Workbook” item.

     The “Financial Workbook” page displays.

     

  3. Click the “Balance Type” drop-down list at upper-left of the page to specify the balance type of the workbook data you wish to view/edit.

     • If data has only been loaded for one balance type, that balance type is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.
     • If data has been loaded for more than one balance type, the first balance type in the drop-down list is selected by default when the page is opened and data for that balance type will populate the various tabs on the page.

     • When you change the drop-down list selection, all tabs of the page will refresh to reflect data associated with the specified balance type.

       • In general, if no data has been loaded to the specified balance type for a given line item, a value of “0” is returned.
     • Supplemental data cannot be loaded to different balance types; you can manually add supplemental data to financial statements at a given balance type, however.

  4. Click any tab at left of the tab set representing a trial balance.

  5. Click the “Show Auto Reclass Items” link at upper-right of the selected tab.

     The values of items participating in auto-reclass functionality are highlighted in orange.

     The link is disabled when the specified account period in ArcReporting has a “Status” of “Closed” for the specified complex, or if calculations have been locked for the specified fund, account period and balance type.

  6. To carry out the reclass of the items, click the “Make Auto Reclass Journal Entries” link at upper-right of the page.

     The link is disabled when the specified account period in ArcReporting has a “Status” of “Closed” for the specified complex.

  7. To continue, click the “Yes” button on the confirmation dialogue that displays.

     The auto reclass logic will run for all trial balance items on all tabs that have this logic enabled, and that have a negative “Ending Balance (Raw)” value.

     • Appropriate debits and credits will be made to zero-out all accounts in the trial balance item selected for reclass. The total value of accounts contained within the trial balance item will be applied as a debit or credit to the specified reclass account.

     • Account reclass logic is carried out for items having the “Auto Reclass Account” check box selected under the following conditions.

       • Automatically, the first time a workbook containing the item(s) is calculated (i.e., the first time the workbook is opened following a dataload), if the “Auto reclass trial balance items during first workbook calculation” option on the “Settings” tab of the financial workbook template is selected.
       • When a user clicks the “Make Auto Reclass Journal Entries” link on the “Financial Workbook” page.

  8. Click the “Save” button at lower-right of the page.

• Viewing general ledger transaction information

  1. Expand the ArcReporting “Financials” menu.

     The “General Ledger Transactions” page displays.

     

     To easily view transactions that are specific to accounts in a particular financial workbook, just click the “View General Ledger Transactions” link on the “Financial Workbook” page to open the “General Ledger Transactions” page.

  3. Set criteria for the transaction(s) you wish to view.

     1. To filter out any reversed or reversal transactions from the results grid, select the “Exclude reversed/reversal transactions in search results” check box.

     • At least one search filter must be set before the “Search” button at right of the “Search Criteria” section becomes enabled.
     • Complexes available for selection in the “Complex” drop-down list are limited to those to which you have been granted access via the “Users” page.

  4. Click the “Search” button at right of the “Search Criteria” section.

     Transactions matching the specified search criteria display in the results grid at the bottom of the page.

  5. To create an opposite journal entry for each adjustment in a given transaction batch, select a row in the results grid that represents an account adjustment in that batch, and then click the “Create Opposite Entry” link at lower-right of the page.

     The “Create Opposite Entry” dialogue displays.

     1. Specify a “Memo” for the entry in the corresponding text box on the dialogue.

        The default value of the text box is the “Memo” value of the transaction that was selected in the grid before clicking the “Create Opposite Entry” link.

     2. Click the “Accept” button at lower-right of the dialogue.

  6. To reverse all transactions in a given batch, select a row in the results grid that represents an account adjustment in that batch for an open account period, and then click the “Reverse Batch” link at lower-right of the page.

     The “Reverse Batch” dialogue displays.

     1. If desired, specify a “Memo” for the entry in the corresponding text box on the dialogue.

     2. Click the “Accept” button at lower-right of the dialogue.

  You can sort, group and filter information in a grid through various means in order to find what you’re looking for more easily.

  

  Grid Management

  1. Filtering: You can filter the items presented in a grid by using the “Filter” buttons at the top of any column.

     1. To remove any particular column filter, click the “Filter” button at the top of that column, and then click the “Clear Filter” button on the filter criteria dialogue that displays.

     2. To remove all column filters for the grid at once, click the “Clear all filters” button at upper-left of the grid.

        The “Clear all filters” button is not available on all Arc Suite grids.

        • The “Clear all filters” button is not available on all Arc Suite grids.
        • Column filtering only affects the rows that have been loaded in the grid. If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), be sure all available rows have been loaded if you expect column filtering to affect all securities in the data set.
  2. Sorting: You can sort items in a grid by clicking any column header. Once sorted, the column header will change color and indicate whether the list is sorted in ascending or descending order.

  3. Grouping: In some grids, the items can be grouped in the display by selecting a column header, and then dragging it into the “Grouped by” area of a grid.

     1. To expand or collapse a grouping, click the buttons, respectively, at left of the grouping row in the grid.

     2. To remove a grouping, hover your cursor over the grouping box, and then click the “Remove” button that displays on its right.

        

  4. Grid Splitting: Grids feature a vertical splitter bar, which you can grab and move over the line dividing any two columns. As you scroll horizontally to see more columns of data, the columns to the left of the splitter bar are “frozen” in view.

  5. Pagination: Some grids feature a “Rows Per Page” spinner control at lower-left, which you can use to specify the maximum number of records/rows to display in the grid at once. If the number of records in the database meeting the specified criteria exceeds the specified “Rows Per Page” value, a set of navigation controls at lower-right of the grid is enabled to allow access to the records in successive grid “pages”.

     If grid pagination functionality is enabled for the “Holdings” tab of the “Fund Holdings” page (via the “FundHoldingsGridPagination” system setting), the value specified for the associated “FundHoldingsGridPageSize” setting will determine the upper limit of the “Rows Per Page” spinner control, as well as how many rows are loaded at once to the grid.

  Exporting general ledger transaction search results

  A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

  1. Click the “Export data” button at lower-right of the pane where existing items are listed to export data from the grid.

     The “Export Format” dialogue displays.

     1. Select the option button next to the file format to which you’d like the data saved.

        •  .XML

          Places data in XML format, which can be opened in a web browser or in Microsoft Excel.

        •  .DOC

          Places data in a table within a Word document.

        •  .CSV

          Places data in a comma-delimited format, which is typically opened in Microsoft Excel.

        •  .HTM

          Places data in an HTML table within a web page, which can be opened in a web browser or in Microsoft Word or Excel.

        •  .TXT

          Places data in a tab-delimited text file, which can be opened in a text editor (e.g., Notepad) or in Microsoft Excel.

     2. Click the “Accept” button at lower-right of the dialogue.

        The “Save As” dialogue displays.

        1. Specify a local or network directory in which to store the file, and provide a “File name”.
        2. Click the “Save” button.
