Managing Currencies

Intro

Users with appropriate rights can add currencies to the Arc Suite database as well as review/edit existing currency records on the “Currencies” page.

Importing/Exporting currency records in Excel (XLS) format can also be accomplished from this page.

Certain functionality in this application area requires you to have one or more . For more information about any given right (i.e., what functionality it governs, etc.), please see the “Available User Rights” topic.

Tasks

    1. Expand the Environment Administration “Settings” .

      1. Click the “Home” button at the top of the application window to return to the landing page.

      2. Select “Environment Administration” from the .

      3. Click the “Settings” menu to view available items.

    3. Click the “Add” button at lower-right of the page.

    4. Enter a “Currency Code”, “Symbol” and “Description” for the new currency, either in the cells of the new row at left of the page, or in the fields of the “Detail” pane at right.

    5. Click the “Save” button at lower-right of the page.

    As an alternative to manually entering currency information one record at a time via the associated application page, you can import multiple currency records at once using an Excel (XLS) source file. Follow these steps to do so:

    1. Expand the Environment Administration “Settings” .

      1. Click the “Home” button at the top of the application window to return to the landing page.

      2. Select “Environment Administration” from the .

      3. Click the “Settings” menu to view available items.

    3. Click the “Get import template” at lower-right of the pane where existing items are listed to retrieve an Excel import file template.

      1. Click the “Open” button to open the template within Microsoft Excel.
      2. Or, click the “Save” button, and then specify a local or network directory in which to store the template.
    4. Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “CurrencyImport_20101231.xls”).
    5. Populate your new file with information for as many currency records as you’d like to import, and then save it (see the “Currencies Import File Structure” table for specifics).

    6. Click the “Import data” at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

      1. Select your import file using the “Browse” at right of the “File” field.

      2. Specify the you’d like to use.

        1. Specify whether only new records in your file should be imported to the database, or whether any records it has that match existing database records should also be imported.

          Existing records will be overwritten by those contained in your file if you choose the latter option!

      3. Click the “Preview” button at lower-right of the “Options” section.

      4. Click the “Accept” button at lower-right of the dialogue.

    4. Review and edit information for the item in the “Detail” pane at right of the page, or directly in the cells of the “Listing” pane at left of the page.

    5. Click the “Save” button at lower-right of the page if any updates were made.

    A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

    1. Click the “Export data” at lower-right of the pane where existing items are listed to export data from the grid.

      1. Select the next to the file format to which you’d like the data saved.

        •  .XML

        •  .DOC

        •  .CSV

        •  .HTM

        •  .TXT

      2. Click the “Accept” button at lower-right of the dialogue.

        1. Specify a local or network directory in which to store the file, and provide a “File name”.
        2. Click the “Save” button.

    3. Click the “Add” button at lower-right of the page.

    4. Click the “Complex” drop-down list to specify the complex with which the new currency caption library will be associated.
    5. Enter a “Name” and “Description” for the new currency caption library, either in the cells of the new row at left of the page, or in the fields of the “Detail” pane at right.

    6. If currency captions will be defined for multiple languages, click the “Languages” to specify one or more languages to associate with the new currency caption library.

      1. Click the “Add” at lower-left of the “Detail” pane to add a new language.
        1. Click the “Language” drop-down list to specify the desired existing language.

        2. Click the “Accept” button at lower-right of the dialogue.

        3. Repeat these steps for as many languages as you require.

      2. Click the “Save” button at lower-right of the page.

    7. Click the “Currency Captions” to add one or more captions to the new currency caption library.

      1. Click the “Add” at lower-left of the “Detail” pane to add a new caption.
        1. By default, the caption you provide will be applied to the specified currency for all languages. If one or more languages have been associated with the currency caption library, and you intend to specify distinct captions for each language, click the “I want this currency caption to be different for each language” link.
        2. Click the “Currency” drop-down list to specify the currency for which you want to provide a caption.
        3. Provide the desired “Currency Caption”.

        4. Click the “Accept” button at lower-right of the dialogue.

        5. Repeat these steps for as many captions as you require.
    8. To set different captions for any caption record, select it and click the “Edit” button at lower-left of the “Detail” pane, or simply type the caption in the “Currency Caption” cell of the caption row.

    9. Click the “Save” button at lower-right of the page.

    3. Select the desired item from the “Listing” pane at left of the page.

    4. Review and edit information for the item in the “Detail” pane at right of the page, or directly in the cells of the “Listing” pane at left of the page.

    5. Click the “Currency Captions” to review, update or add captions to the currency caption library.
      1. Click the “Language” drop-down list to filter existing caption records by specific language.

      2. Click the “Search” button at right of the “Language” field.

      3. To set different captions for any existing caption record, select it and click the “Edit” button at lower-left of the “Detail” pane, or simply type the caption in the “Currency Caption” cell of the caption row.

      4. Click the “Add” at lower-left of the “Detail” pane to add a new caption record.
        1. By default, the caption you provide will be applied to the specified currency for all languages. If one or more languages have been associated with the currency caption library, and you intend to specify distinct captions for each language, click the “I want this currency caption to be different for each language” link.
        2. Click the “Currency” drop-down list to specify the currency for which you want to provide a caption.

        4. Click the “Accept” button at lower-right of the dialogue.

    6. Click the “Languages” to add or remove languages associated with the currency caption library.

      1. Click the “Add” at lower-left of the “Detail” pane to add a new language.
        1. Click the “Language” drop-down list to specify the desired existing language.

        2. Click the “Accept” button at lower-right of the dialogue.

        3. Click the “Currency Captions” tab to edit captions, as necessary (follow instructions offered in the foregoing steps).
        4. Repeat these steps for as many additional languages as you require.

    7. Click the “Save” button at lower-right of the page if any updates were made.

    A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

    3. Use the “Source” drop-down list at upper-left of the page to specify the exchange rate source with which the new exchange rate will be associated.

    4. Use the “Time Zone” drop-down list at upper-left of the page to specify the time zone with which the new exchange rate will be associated.

      “(GMT) Dublin, Edinburgh, Lisbon, London” is selected by default.

    5. Use the “Date/Time” at upper-left of the page to specify the date and time with which the new exchange rate will be associated.
      1. If the date/time with which the new exchange rate will be associated is among those listed, select it.

      2. If the date/time you’re looking for isn’t in the list click the “Add” button at right of the “Date/Time” field .

        1. Click the “Date” button at right of the “Date” field to select the desired date from the calendar that displays.
        2. Click the “Time” button at right of the “Time” field to select a time from among those that display.

        3. Click the “Accept” button at lower-right of the dialogue.

    6. Use the “Type” drop-down list at upper-left of the page to specify the type of the new exchange rate (i.e., “Closed/Open” or “Average”).

    7. Click the “Search” button at right of the “Date/Time” field.

    8. Click the “Add” at lower-left of the grid to add a new exchange rate, if an exchange rate does not already exist that meets the specified search criteria.

      1. Specify the “From Currency” for the exchange rate definition.
      2. Specify the “To Currency” for the exchange rate definition.
      3. Enter the “Exchange Rate” value.

      4. Click the “Accept” button at lower-right of the dialogue.

      Use the “Sample Conversion” section at lower-right of the page to test the conversion of any given value from one currency to another, based on the exchange rates currently displayed in the “Listing” grid.

      1. Click the “From Currency” drop-down list at upper-left of the section to specify the currency on which the conversion will be based.
      2. Click the “To Currency” drop-down list at upper-right of the section to specify the currency to which the specified value will be converted.
      3. Enter any value in the “Value” field.

      4. Click the “Convert” button at right of the “Value” field.

    9. Click the “Save” button at lower-right of the page.

    Exchange rate information can be loaded utilizing the secure FTP site process. See the “Transferring Load Files via Secure FTP” topic for details on using this method.

    • Be sure to select and upload the source data to the ExchangeRates for the type of source file you’re using in the FTP directory for your respective environment.

    • The system automatically rejects any import that contains one or more records associated with a “Closed” account period.

    4. Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “ExchangeRateImport_20101231.xls”).
    5. Populate your new file with information for as many exchange rate records as you’d like to import, and then save it (see the “Exchange Rates Import File Structure” table for specifics).

    6. Click the “Import data” at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

      This button is disabled if “Average” is the specified exchange rate “Type”.

      1. Select your import file using the “Browse” at right of the “File” field.

      2. Specify the you’d like to use.
        1. Click the “Time Zone” drop-down list below the “File” field to select the time zone with which the new exchange rate(s) will be associated.
