Importing Portfolio Statement Abbreviations

Intro

You can import abbreviations for portfolio statement holdings from a specially-formatted source file, by means of controls on the “Abbreviations” tab of the “Abbreviation Libraries” page.

Tasks

  • As an alternative to manually entering holdings abbreviation information one record at a time via the associated application page, you can import multiple abbreviation records at once, along with their associated information, using an Excel (XLS) source file. Follow these steps to do so:

    1. Expand the ArcReporting “Reporting Libraries” .

      1. Click the “Home” button at the top of the application window to return to the landing page.

      2. Select “ArcReporting” from the .

      3. Click the “Administration” at lower-left of the screen.

      4. Click the “Reporting Libraries” menu to view available items.

    2. Click the “Abbreviation Libraries” item.

    3. Click the “Abbreviations” tab.

    4. Click the “Get import template” at lower-right of the pane where existing items are listed to retrieve an Excel import file template.

      1. Click the “Open” button to open the template within Microsoft Excel.
      2. Or, click the “Save” button, and then specify a local or network directory in which to store the template.
    5. Use Excel’s “Save As...” command to create your data import file, giving it a unique and meaningful name (e.g., “AbbreviationImport_20151231.xls”).
    6. Populate your new file with information for as many abbreviation records as you’d like to import, and then save it (see the “Fund Information Import File Structure” table for specifics).

    7. Click the “Import data” at lower-right of the pane where existing items are listed to import data contained in your Excel source file.

      1. Select your import file using the “Browse” at right of the “File” field.

      2. Specify the you’d like to use.

        1. Specify whether only new records in your file should be imported to the database, or whether any records it has that match existing database records should also be imported.

          Existing records will be overwritten by those contained in your file if you choose the latter option!

      3. Click the “Preview” button at lower-right of the “Options” section.

      4. Click the “Accept” button at lower-right of the dialogue.

    4. Click the “Complex” drop-down list to specify the complex with which the new abbreviation library will be associated.
    5. Enter a “Name” and “Description” for the new abbreviation library, either in the cells of the new row at left of the page, or in the fields of the “Detail” pane at right.

    6. Click the “Languages” tab at lower-right of the page to add languages to the library if abbreviations in the library will be included in projects that support multiple languages, and if the abbreviation text has the potential for being distinct for each language.

    7. Click the “Save” button at lower-right of the page.

    4. Review and edit information for the item in the “Detail” pane at right of the page, or directly in the cells of the “Listing” pane at left of the page.

    5. Click the “Save” button at lower-right of the page if any updates were made.

    A listing of records, with certain associated information, can be exported from the application database to any of several different file formats (DOC, HTM, XML, etc.). Follow the steps below to perform a data export.

    1. Click the “Export data” at lower-right of the pane where existing items are listed to export data from the grid.

      1. Select the next to the file format to which you’d like the data saved.

        •  .DOC

        •  .CSV

        •  .HTM

        •  .TXT

      2. Click the “Accept” button at lower-right of the dialogue.

        1. Specify a local or network directory in which to store the file, and provide a “File name”.
        2. Click the “Save” button.
